We are seeking a highly organised and detail-oriented Administrative Support Assistant to join our team in a critical documentation role. This position is ideal for someone with strong computer skills and a proactive mindset, who enjoys working with structured information and supporting operational compliance.
About the Role
This is a specialist administrative role focused on the creation, maintenance, and digitisation of essential documentation for emergency response and compliance purposes. The successful candidate will play a key part in supporting the F100 Emergency File, ensuring that all documentation is accurate, up to date, and aligned with operational standards.
This is not a traditional General Duties Assistant (GDA) role. Instead, it is focused on documentation and process support, with a strong emphasis on quality, clarity, and compliance.
Key Responsibilities
Create and maintain internal documentation for the F100 Emergency File
Includes producing simple block diagrams using Microsoft Visio (training can be provided)
Examples include fire extinguisher layouts and gas room schematics
Develop and update documentation for site processes and compliance requirements
Produce and maintain emergency response files
Digitise and modernise legacy documentation, particularly from London-based sites
Collaborate with site teams and stakeholders to gather accurate information and ensure documentation reflects current operations
Required Skills and Experience
Strong computer literacy, including proficiency with Microsoft Office tools
Excellent written and verbal communication skills
Ability to work independently and manage multiple documentation tasks simultaneously
High attention to detail and a methodical approach to work
Desirable Experience
Previous experience working on live operational sites (not essential but beneficial)
Background in Facilities Management or a similar environment
Familiarity with document control systems or compliance documentation
Location and Travel
Primary base: Basildon office (SS14 3WN)
Expected to be on-site 2-3 days per week; remaining days can be remote or in-office depending on workload and preference
Travel to various London sites will be required as part of the role
A full UK driving licence is essential – a van or car will be provided for work-related travel
