We’re seeking a proactive, personable, and highly organised Office Administrator to oversee the day-to-day operations of our dynamic and collaborative studio. This role is the heartbeat of our office, ensuring that everything – from front-of-house hospitality to behind-the-scenes administration – runs smoothly, efficiently, and with a personal touch.

You’ll be the welcoming face at reception, greeting clients and supporting the team with meeting coordination, travel logistics, and office supply management.

Your responsibilities will span across office administration, facilities, vendor coordination, and IT support, ensuring our work environment is functional, tidy, and inviting. You’ll also manage budgeting tasks, vendor relationships, and assist with finance duties like receipting and invoice tracking.

As a trusted support to the Directors and wider leadership team, you’ll provide executive assistant support including calendar management, meeting setup, and assistance with strategic tasks. You’ll also play a key role in internal communications, HR support, new hire onboarding, and maintaining company standards and policies.

About the role and your responsibilities

Front Desk Reception Tasks

• Be the first, friendly face that clients see when coming into the Harrison office – greeting everyone with a warm and welcoming smile to establish the groundwork for a good client relationship.

• Answer all incoming calls with a friendly demeanor and redirect accordingly (this will be minimal input as most calls are received via individuals’ mobile phones).

• Receive all incoming packages and coordinate with the team for all outgoing packages. Periodically, check the front reception area for deliveries to keep the front area tidy and clear of packages.

• Aid the designers with maintaining and renewing our sample library.

• Checking the mail daily.

• Help vendors set-up lunches, materials and clear the kitchen when lunch is over.

• Remind and/or assist to close windows at the end of the working day.

Office Administrator Tasks

• Remain impartial with team members.This position requires a high level of professionalism and discretion.

• Learn our culture and design process by collaborating with our design team and company directors.

• Overseeing and assisting with daily operations, procedures and administrative tasks.

• Oversee any enhancements to the office working environment, office supplies, print room, kitchen, deliveries/mail, board room and conference areas etc.

• Help promote and foster a friendly, collaborative and fun working environment. Spend time with employees to understand any concerns and to suggest ways to enhance the working environment.

• Keep the office consistently stocked with any supplies that are needed, ranging from office supplies and beverages for staff and clients.

• Set-up every aspect of a new team member’s computer (including the initial creation of all accounts needed, setting up the desk and computer, etc).

• Be the first point of contact for all IT issues to try to help in any sense that you can before reaching out to the Finance Manager or the off-property IT help. This comes with having basic knowledge of how a computer works, knowing the settings, troubleshooting, etc.

• Planning in-house or off-site activities (i.e. staff meetings, parties, celebrations, and conferences).

• Coordinate travel arrangements and needs to keep the Harrison standards consistent for the team when traveling. This could be for site visits, conferences, business development meetings, etc.

• Professional Membership renewals: help manage, schedule and renew business and professional licenses and any other licenses the staff may require.

• Annual renewals: work closely with our H+S Consultant/Partners to manage the annual renewals for the likes of on-line training and Harrison Audits.

• Business development research to assist company directors.

• Create and distribute all company-wide memos on behalf of the Directors.

• Maintain an organised and clean office environment in all sections of the studio. This includes keeping the kitchen stocked, organising the recycling areas, tidying the board room and conference areas. Liaise with our contracted cleaners to ensure they meet the expected cleaning standards.

• Liaise with the Directors and maintenance staff to keep the studio, car park and external areas in good shape. This includes submitting all work orders, distributing memos from management, etc.

• Find and use contractors to do work in the office that the Landlords are not responsible for completing.

• Maintain the health of both printers, which also includes sustaining a healthy supply of paper and inks (inks are monitored remotely) and working closely for service calls with the leasing company.

• Be the office contact for our security/access matters in-conjunction with Finance Manager and Operations Director. Arrange additional sets of keys when appropriate staff have requirements.

• Maintain a list of archived records and arrange for secure destruction at the appropriate time.

Accounting Tasks

o Scan and save all receipts into the correct organized folders that are created for daily charges or save them in the correct expense folder for the expense reports. This also includes keeping the physical receipts for reference and storing at the end of every year

o Review the Debtors list from Accountant/Finance Manager with the Operations Director and agree which client invoices are overdue and follow up with requests for payment.

• Create all meeting invites for the Directors and manage their calendars accurately.

• Be familiar with all meetings happening each day to coordinate board room and conference areas bookings.

• Stay up to date with Annual Leave/Holiday requests and list who will be out each week.

• Ensure each board room or conference is set-up in a timely manner before important client meetings.

• Provide and purchase refreshments for important in-house client meetings (I.e. pastries, coffee, teas, bottled water, lunches to be ordered, etc.).

• Assist in further developing, implementing the company’s business plan and co-ordinate strategic tasks alongside the firm’s leadership.

• For every conference, in-conjunction with our Director of Marketing assist and coordinate the creating of marketing collateral, bookings, and event planning scheduling, giveaways ordering, and any other additional requirements that are specific to each conference.

• Administration duties include developing agendas and minutes for project and business meetings.

Human Resources Tasks

• HR responsibilities include playing an active role in recruiting including posting, reviews, terminations, coordination with applicants and arranging interviews.

• Onboard all new team members, which will include but is not limited to sending the introduction email, setup of all accounts/programs that they will use, liaise with IT to create email, ensure their desk is set and organized, in a welcoming manner, provide necessary PPE to fit their job role, follow-up through-out first week, send induction email, and after 30 and 60 days arrange a check-in with the relevant team members, and at 90 days schedule their end of probation review. At this point send a request to Finance Manager to arrange health cash plan and pension membership, etc.

• Oversee and update the firm’s employee guidelines as necessary with the Directors, as well as keeping an up-to-date folder of all signed forms and guides.

• Update and maintain company standards such as processing documents and employee guides.

Marketing Tasks (under direction of our Director of Marketing)

• Marketing activities including competition entries, website and social media posts.

• Maintain an inventory for all printed collateral and brochures.

What we’re looking for

• Educated in a related field of study, which can include but is not limited to business, interior design, hospitality, accounting, etc.

• 3 years’ minimum experience in office administration.

• Preferred background in the administrative role in an office, whether being an Office Manager, Executive Assistant, or Administrative Assistant, etc.

• Highly proficient in Microsoft Office Suite – has at least 3 years of experience working with suite.

• Proficient in other programs such as Acrobat, PowerPoint and/or InDesign.

• Demonstrates a very friendly and hospitable environment for not only the clients, but the team members.

• Strong knowledge of working with a PC.

• Confidential information keeping is a must.

• Strong organisational skills, the ability to work under pressure, meet deadlines, and prioritize and manage multiple tasks.

• Work as needed each day to complete tasks.
