Overview
Join us as an Executive Assistant at QinetiQ in Farnborough, England. This role provides high-level administrative support focused on diary management, information governance, and acting as the point of contact for internal and external customers, enabling the leadership team to operate efficiently.
Role Purpose
To support the Group Director and members of the Senior Management Team in achieving a high-performance business. Providing professional diary management, including building-in objectives and deliverables; establishing and maintaining administrative systems to maximise availability of business-critical information in line with governance, sector and company timelines; be the point of contact for internal and external customers.
Key Accountabilities
- Provide full EA support to 1 QLT member, along with diary support and meeting arrangements for up to 4 members of Senior Management Team
- Management of complex diary arrangements
- General meeting assistance including preparation of agendas, briefing packs, technology requirements, catering, and room bookings
- Pro-actively manage/escalate/delegate issues within the management chain with clear instructions/deadlines through completion
- Point of Contact for internal and external customers
- Ensure all preparation for meetings and compilation of essential material is provided in advance
- Attend the Leadership Team meetings to capture and manage delivery of actions arising
- Manage data packs including presentations, templates and timelines to enable timely delivery of reporting governance for Sector and Group
- Support management of function wide communications including organisation of Q Talks, Q&A sessions, extended LT meetings, ad hoc events
- Manage QinetiQ processes such as expenses, international and UK travel bookings, purchasing etc
