About the Role
We’re looking for a Receptionist/Helpdesk Assistant to join our Estates team. You’ll be the central point of contact for Estates-related queries and requests, providing a professional and welcoming experience for visitors and callers to the University.
You’ll manage incoming enquiries, operate the switchboard, maintain key databases, and support the distribution of Estates communications. This is a varied role that combines front-of-house reception duties with helpdesk support, contributing to the smooth running of our Estates operations.
Responsibilities
- Receive and route incoming enquiries via phone, email, web, or in person
- Welcome visitors and direct them appropriately, operating the switchboard and VisitorNet system
- Log and manage Estates requests using the Planon database, issuing reference numbers and advising on response times
- Maintain and update the Estates Address Management database, including contact and Health & Safety information
- Generate reports for contractor and visitor monitoring to support Health & Safety compliance
- Support team goals in customer service and contribute to the development of team functions
Qualifications
- Proven ability to deliver excellent service in a customer-facing role
- Clear and professional written and verbal communication, with confidence interacting across all levels
- Competent in Microsoft Office and comfortable using databases and digital systems
- Flexible approach to working priorities, with a positive attitude to resolving issues
- Collaborative mindset with strong interpersonal skills and a commitment to equal opportunities
