Job Introduction
The Procurement Assistant will support the procurement team in acquiring the best value goods and services necessary for the company\’s requirements and operations.
This role’s main focus will be to support the I.T category from a procurement perspective, however there is an expectation to support all categories within the procurement team, when necessary.
The Procurement Assistant’s responsibilities will involve assisting with supplier communication, internal stakeholder management, spend analysis and ensuring the timely delivery of goods and services with effective contract management.
More Specifically The Tasks Will Be Extensive As The Procurement Team Deals With An Array Of Projects And Stakeholders Of Varying Risk, Value And Timescale. These Tasks Will Include
- Supporting the procurement category managers with the delivery of their category strategies.
- Supporting the procurement team’s projects and contracts prioritisation.
- Identifying cost saving opportunities.
- Aid with sourcing activities such as marketing research, the creation of RFx’s documentation, inclusive of NDA documentation, and collating detailed supplier responses for the business to make critical decisions.
- Carryout administrative tasks such as making sure contracts and important documentation are consistently saved in their relevant locations.
- Build and maintain positive relationships with the IT stakeholders (internal and external), addressing any issues and ensuring positive supplier performance.
- Provide data and insights on IT procurement activities, including spend analysis and supplier performance reports.
- Manage low value contracts, which are still essential to the business’ operation.
- Support implementing new processes across the business and within the procurement team.
- Monitor the contract expiry report to prevent any lapse in services.
- Ensure all procurement activities adhere to our company policies & guidelines, as well as industry best practices.
Person Specification
- Knowledge of the global IT product and service market and trends.
- An understanding of licensing models & metrics.
- An understanding of Purchase to Pay Cycle and working knowledge of a spend management platform (e.g. Coupa).
- Strong analytical skills.
- Strong organisational skills.
- Excellent communication skills at all levels.
- Good negotiation skills.
- Computer proficiency (comfortable using Microsoft Office Suite and PowerBI).
- Attention to detail.
- Ability to work independently and as part of a team.
- Qualification at higher national or degree level is desirable but not essential.
- CIPS qualification (or working towards) is desirable but not essential.
