About the role

Imperial is centralising its Right to Work (RTW) check process to ensure a consistent and compliant approach across the university. We are looking for an organised and proactive individual to provide administrative support to our Staff ID & Vetting Team. In this role, you will help ensure new and existing staff have the correct Right to Work and Disclosure & Barring Service (DBS) checks in place – supporting individuals through the process while helping Imperial meet its legal obligations.

What you would be doing

In this fast-paced and detail-orientated role, you’ll play a key role in ensuring that all new and existing staff have the ID checks they need. This would include sending out communications and reminders, generating links via our ID check platforms, and carrying out the necessary Right to Work and DBS checks

At Imperial, we hire a wide range of colleagues – from world-leading researchers to catering assistants – and it is important to us that everyone has a smooth, positive experience when joining our staff community. You will contribute to that experience by working closely with colleagues from across the People Function, including within the Staff Immigration and Compliance teams as well our Recruitment and Staff Hubs, as part of the wider onboarding process.

What we are looking for

  • Proven administrative experience in roles such as HR, Compliance, Office Assistant or similar, within a fast-paced, service-led environment.
  • Excellent organisational and time management skills, with the ability to prioritise high volumes of work and meet tight deadlines.
  • Confident communicator with strong written and verbal skills; able to engage sensitively and professionally with a wide range of people to deliver a great service.
  • A proactive, detail-oriented approach with the ability to produce accurate, high-quality work under pressure.
  • Sound understanding of GDPR, confidentiality, and a working knowledge of employment/compliance processes (e.g. Right to Work checks, DBS).
  • Comfortable working independently while knowing when to seek guidance or escalate issues.
  • Customer-focused mindset with a positive, can-do attitude and a commitment to delivering value.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and experience using HR systems or similar databases.
