Job Description
This UNHW couple is looking for a Business and Private PA to help support them across their business ventures, philanthropic endeavours, family life and multiple international properties and boats. The role involves managing schedules across the family, household operations and maintenance, and travel logistics while providing high-level administrative support. They need an excellent communicator with high emotional intelligence, who is pre-emptive and good at assimilating information and noticing any gaps where they could support the couple. This is a very big role with a wide scope and therefore it needs someone who can juggle workloads and prioritises and who works well under pressure and doesn't get flustered. The couple are involved in various boards and enjoy sailing pursuits. They are looking for someone with longevity on their CV, who is loyal, calm, professional and adept at managing both personal and business tasks. The role will include but not be limited to:

- Managing the diaries of the 2 principals – husband (business diary) and wife (personal diary). This requires a proactive and confident approach to deal with diary conflicts in busy schedules and tracking of the family diary (including their older children).
- House and Staff management – organise and oversee property maintenance, develop strong working relationships with house staff in different locations.
- Travel and logistics – understand the rhythms of travel for different family members and coordinate these.
- Organise family schedules, appointments, and travel itineraries
- Manage household service schedules with annual reminders.
- Maintain weekly task lists, communicate follow up, updates and issues and plan proactively.
- Comfortable receiving communications over different platforms – phone, whatsapp and email
- Able to assimilate information and help provide solutions / options independently, and / or reaching out to discuss with Principals as required.
- Willing to be accessible outside working hours to manage / discuss scheduling changes or schedule issues due to time zone constraints or other travel requirements
- Knowledge and management of philanthropic commitments and corresponding social events.
- Manage social, cultural, and sports memberships.
- Help prioritise cultural activities, restaurant bookings, and secure event tickets.
- Coordinate household services and maintenance.
- Schedule and oversee repairs, cleaning, and service visits. An expectation that all services and repairs are understood and can be communicated clearly to principal.
- Manage staff rota including; hours, vacation and overtime for household staff.
- Oversee job lists, projects and staff schedules.
- Coordinate pet care with dog walker & healthcare appointments.
- Manage necessary travel documents for pets to travel between UK and overseas.
- Handle post, filing, household purchases, and office supplies.
- Coordinate approvals and forwarding of household bills to be paid by the Family Office.
- Manage passport renewals.
- Coordinate with Principal on family / staff gifts.

This is a really varied, all encompassing role. Whilst the family are very nice they have high expectations and they want someone with exceptional planning skills and attention to detail who is experienced, calm, capable and professional. The EA/PA must be someone who enjoys working hard, building great relationships with the Principals and household staff alike, and who is willing to go the extra mile. This role will required out of hours work. Previous experience supporting a UHNW couple/family is key, and candidates must have experience working both on the business and private side. This role is based in London between their private residence and family office 5 days per week.
