Our client, a prestigious law firm, is seeking a Legal Administrative Assistant in Intellectual Property (IP) to join their team! The Legal Administrative Assistant supports IP attorneys and staff by delivering exceptional client service both within the firm and to external clients.
Key Responsibilities:
- Provide administrative and legal support to IP attorneys.
- Manage attorney calendars, track deadlines, and enter billable time into accounting systems.
- Process new matter requests, client billing, and vendor payments.
- Prepare and file Information Disclosure Statements (IDS) with the USPTO.
- Assist with docketing tasks and maintain organized patent application files.
- Review and take action on incoming mail (physical and electronic).
- Keep client contact details and reporting instructions up to date.
- Coordinate tasks with the IP Manager, other departments, and colleagues to meet deadlines.
- Work closely with the Docketing team to ensure all IDS deadlines are met.
- Review attorneys’ docket reports and send reminders for critical dates and actions.
- Help intake and process transferred case files, ensuring completeness and accurate docket entry.
- Support and manage long-term or large-scale projects as assigned.
Qualifications:
- IP exposure is ideal!
- Bachelor’s degree preferred, not mandatory.
- Minimum of 3 years in administrative, legal, or executive assistant roles.
- Strong skills in Microsoft Word, Outlook, and other Office applications.
