Position Overview
This is a pivotal role in supporting the growth and operational efficiency of the network operations. This position involves coordinating key administrative functions, managing documentation, tracking project timelines, and providing high-level support to the network development team and retail network.
The ideal candidate will be highly organised, detail-oriented, and adept at balancing multiple priorities in a fast-paced environment. Strong communication skills are essential, as the role requires frequent liaison with internal teams, retailers, and external stakeholders to ensure seamless onboarding, compliance, and network expansion.
Main Responsibilities:
Dealer Database
- Maintaining the UK database to provide timely and accurate Dealer details.
- Update opening hours and contact details on O&J Websites and dealer microsites
- Dispensation logs to track agreed timebound non-compliances
- Network statistical reporting (growth, showroom sizes etc)
Contract Administration
- Creation and signatures on new Dealer Agreements
- Updates to DA Appendix when required (model changes, address changes)
- Contract changes with mergers and acquisitions (addendums)
- Maintenance of central store of contracts (obtain signatures where missing)
Onboarding
- Internal and external notifications of new Dealer commencement
- Leading the onboarding admin to ensure all departments are prepared in time for new dealer commencements
Contract Admin
- OA processes related to new/existing supplier agreements and renewals
- Oversight of tender processes
- Admin of industry body memberships (SMMT, TMO)
DND Finance
- Monitor DND budgets and issue reports
- Arrange payment authorisation for supplier invoices
DND Team
- Diary management and regular meeting notes
- Centralising trackers (prospects, open points)
Training Support
- Keep TMS updated with the latest retailer staff contacts
- Calculate quarterly training levy due by retailer
- Update e-learning with new product updates
- Learn to use Articulate to create new e-learning modules from scratch
