We have an exciting opportunity for an enthusiastic Deputy Scheduler to join our dynamic team. This permanent position is well suited to an individual that is looking to advance their career and gain hands-on experience in a thriving and supportive workplace.
Summary of Role:
Mountjoy Ltd is contracted to the Isle of Wight Council and Vectis Housing Association (amongst other clients) to provide the day-to-day repairs and planned maintenance to various buildings across the Isle of Wight. We are seeking an IT literate and conscientious Deputy Scheduler to complement our growing team.
Your key responsibilities as a Deputy Scheduler are to assist in ensuring that the work received from our clients and tenants are properly resourced by allocating the appropriate operatives and subcontractors using our work management system.
Being a key member of the team, you must be proactive in communicating with colleagues to understand the resource needs of the work supervisors and be able to communicate with trades persons to assist with job actions.
The IW Hub work with 6 clients so it is important to be able to multitask, retain key information and communicate frequently at all levels.
This is a development position with the opportunity for progression.
Key Responsibilities:
·Working closely with the team to ensure efficient and effective resourcing of repair appointments and materials deliveries
·Help plan for future jobs and appointments to meet the demand through operatives and sub-contractors.
·Contacting tenants and building users to book in works to ensure that we consistently meet contracted response times.
·Raising any concerns with the Supervisors / Contract Manager so that proactive plans are made.
·Allocating the right operatives, based on their skills, availability and locality to the jobs that are nearing completion to ensure we meet appointment times/response times and minimise travel and unproductive time.
·Highlighting issues and trends to the Supervisors / Contract Manager in relation to quality of workmanship, or task productivity where the expected demonstrated time for the trade and task has been exceeded.
·Ensure the Job Management Systems, and any other system(s) used to deliver the service, are updated in a timely and accurate way.
·Constantly monitor the appointment screens and statuses to identify potential issues before they happen to make the correct decisions to rectify and own the issue through to resolution pulling on the Contract Manager if required.
·Collect and collate client/resident satisfaction feedback and report on trends and improvement ideas.
·Ensure all information and invoices are on jobs before costing to capture all costs and liaise with the job owner if there are any clarifications required.
·Review any loss-making jobs and provide detailed information to Contract Manager

Required Skills:
·Be proficient and confident in your use and adaptability to a range of IT systems to include, but not limited to MS Office and our own bespoke job management system.
·When required, be able to organise, prioritise and schedule jobs to meet appointments by planning into the future using the measures of the job management system, and able to organise staff and operative rotas/leave to meet appointment demand.
·Be confident and adaptable in your ability to be able to talk to clients, tenants, building users, operatives, and subcontractors in quick succession.
·Comfortable in a changing and evolving environment demonstrating a level head to the team and enjoy the challenge.
·Be effective in communicating with operatives so that they understand what they need to do and why.
·Be a team player by understanding what it is to be a part of a team, sharing experiences and learning.
·Be able to self-manage and be self-motivated, prioritising work and have a desire to solve problems and eliminate waste.
·Understand customer service and can coach and supervise a team to provide a professional service in all circumstances.
Knowledge and Experience Required
·Basic knowledge of building maintenance trades and the tasks/activities that can be undertaken be each trade group (Desirable)
·Good geographical understanding of the Isle of Wight area including the best routes, and travel times between different locations.
·Experience working in an Operations Centre of a Building Maintenance Contract (Desirable)
·Experience working with Excel spreadsheets
·Experience working with Word
·Experience in Call Handling and Customer Liaising
Qualifications Required
·GCSE or equivalent grade C or above in English.
·Relevant qualification in Business Administration or Customer Services (advantageous)
·Ideally have a full driving licence.
