We are seeking a highly organised and proactive Administrator to play a key role in ensuring the seamless operation of our care services. Reporting directly to the Operations Director, you will take ownership of a wide range of administrative tasks, supporting compliance, recruitment, training, and operational efficiency. This role is critical in maintaining smooth processes, enabling teams to focus on delivering exceptional care.

About the role

Key Responsibilities

General Administration

Oversee and manage daily administrative tasks to support operational efficiency.

Schedule and minute meetings, ensuring timely distribution and follow-up of actions.

Maintain and update recruitment, capacity, and training trackers with precision.

Collate, analyse, and report PAMMS (Provider Assessment and Market Management System) data, presenting quarterly summaries.

Ensure timely submission and upload of compliance certificates, NMDS data, and other essential documents.

Recruitment & HR Administration

Screen applicants, schedule interviews, and manage communications using platforms like Indeed and SeeMeHired.

Conduct and document exit interviews, providing actionable insights.

Track and manage annual leave, sending timely reminders to staff.

Coordinate supervision and appraisal reminders to ensure compliance.

Recognise staff birthdays, anniversaries, and milestones with timely acknowledgements.

Training & Development

Coordinate staff training schedules and send reminders as needed.

Track team training data and provide monthly trend reports to inform decisions.

Assist in developing comprehensive training and professional development plans.

Operational Support

Support Service Leads and Team Leaders with rota coordination.

Assist in covering shifts using bank or agency staff as required.

Monitor attendance through daily clock-in checks and ensure People Safe activity compliance.

Manage PPE stock checks and ordering to maintain adequate supplies.

Analyse and address monthly operational trends to ensure smooth service delivery.

Financial Administration

Support the manager in raising and tracking invoices for care services.

Upload invoices and receipts to Dext for integration with the Xero accounting system.

Compliance & Health and Safety

Conduct office health and safety checks to ensure regulatory compliance.

Maintain an up-to-date accident and incident log, ensuring timely reporting.

Perform audit checks and send reminders for any compliance issues.

Electronic Systems Management

The Administrator must develop proficiency in:

Bright HR, Bright Safe, Blip, Pop: HR and safety management tools.

InvictIQ: Audit management system.

SharePoint: Document storage and reporting.

Your Hippo, Open Future Learn: Training coordination platforms.

Dext, Xero: Financial administration tools.

Communication & Marketing

Summarise and upload team leader reports to SharePoint for team access.

Research and coordinate marketing campaigns for key dates (e.g., World Mental Health Day, Disability Day).

Ensure timely and effective communication of updates, changes, and reminders to staff.

Additional Duties

Act as a first point of contact for staff inquiries and administrative support.

Take and document investigation minutes accurately.

Continuously enhance administrative systems and processes.

Exceptional organisational and time-management skills.

Strong written and verbal communication abilities.

Proficiency in Microsoft Office Suite and relevant electronic systems.

Impeccable attention to detail and a commitment to accuracy.

Discretion and confidentiality when handling sensitive information.

Qualifications & Experience

Proven experience in an administrative or managerial role, ideally within a care setting.

Familiarity with compliance, data management, and financial tracking in the care sector.

Demonstrated ability to handle multiple tasks in a fast-paced environment.

Additional Requirements

Successful completion of a DBS (Disclosure and Barring Service) check.

Willingness to complete relevant training as required by the organisation.
