Are you an Administrator with a good customer services background looking for a new role which will keep you busy day in day out?
This National Facilities Services Company is opening a new office in Melksham and is currently looking to build a new team after a number of contract wins in the area.
As Contract Support Administrator, you will be part of a team of 4 Administrators and Helpdesk Operatives that deal with incoming calls and emails with either planned or reactive jobs that require attention. This will include logging the job onto the system and planning/scheduling the engineer(s) to carry out the works. Once completed, you will be responsible for closing the job off on the system ready for invoicing.
You will administer scheduled reactive work orders ensuring response and completion within the required time frame(s). Update the CAFM system to ensure proactive communication with all stakeholders.
Key Accountabilities
- Effectively process scheduled and reactive works from initial raising of jobs through to completion and invoicing in a timely manner.
- Accurate inputting of information into Concerto CAFM system.
- Maintain excellent relationships with colleagues, clients, and suppliers/contractors.
- Liaise with directly employed engineers and sub-contractors.
- Assist in the collation of monthly reports.
- General administrative tasks as required.
- Attend meetings as requested.
- Carry out other duties as and when required by Line Manager.
Technical Skills / Knowledge
- Minimum GCSEs grade C or above in Maths & English.
- IT experienced.
- Excellent organisational skills.
- Good written and verbal communication abilities.
- Preferable NVQ or equivalent in Business Administration or Customer Service.
Qualifications / Person Specification
- Excellent interpersonal skills.
- Excellent telephone and communication skills.
- Able to prioritise and work to deadlines.
- Excellent attention to detail.
- Excellent IT competency Microsoft Office including Excel.
- A team player, flexible, able to work under pressure.
