Document Controller
Are you a detail-oriented professional with a passion for organisation and compliance? We are seeking an experienced Document Controller to join our team and take ownership of our document management processes. This is an exciting opportunity to play a key role in ensuring accuracy, accessibility, and compliance across all documentation within our organisation.
Key Responsibilities:
Document Management: Oversee the lifecycle of all organisational documents—creation, revision, approval, and maintenance—ensuring adherence to internal standards and guidelines.
System Oversight: Manage the document control system including repositories, file structures, classification, and access controls.
Version Control: Maintain rigorous version control processes to ensure availability of the latest documents and proper archiving of historical versions.
Distribution: Coordinate timely and secure distribution of documents to both internal teams and external stakeholders, maintaining detailed tracking records.
Review & Approval: Lead the document review process, collaborating with subject matter experts and stakeholders to secure approvals.
Compliance: Ensure all document control processes comply with applicable regulations and standards (e.g., ISO 9001, GDPR).
Training & Support: Provide ongoing guidance and training to staff on document procedures and serve as a point of contact for document control inquiries.
Process Improvement: Identify and implement enhancements to streamline documentation workflows and increase overall efficiency.
What You’ll Bring:
- Bachelor’s degree in Business Administration, Information Management, or a related field.
- Proven experience in document control or records management.
- Strong knowledge of document management systems (e.g., SharePoint, Documentum, FileNet).
- Exceptional attention to detail and organisational skills.
- Strong written and verbal communication skills.
- Ability to work both independently and collaboratively.
- Familiarity with relevant standards and regulatory frameworks (ISO 9001, GDPR) is highly desirable.
