EXPERIENCE / QUALIFICATIONS
- Bachelor’s degree in business administration, Management, or a related field preferred.
- 3+ years of experience as an Executive Assistant, preferably supporting C-level executives or UHNW individuals.
- Experience in managing international travel and itineraries.
- Experience managing commercial projects
- Familiarity with luxury lifestyle management and concierge services.
- Must thrive in high pressured environments and be able to remain calm under pressure.
- High level of emotional intelligence required.
- Proficiency in a second language is a plus.
JOB DESCRIPTION
Administrative Support :
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Manage and maintain the busy calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate logistics for meetings, conferences, and events, both domestically and internationally.
- Taking minutes and creating action lists.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research, compile data, and prepare reports for review.
- Handle incoming and outgoing communications, including emails, calls, and mail, ensuring prompt and professional responses.
Personal Assistance :
- Assist with personal tasks and errands as needed, including managing personal schedules, appointments, and travel.
- Coordinate with household staff and manage personal projects and events.
- Handle confidential and sensitive information with discretion.
- Flexibility to work outside regular business hours – 24 / 7 on call.
- High level of discretion and confidentiality.
Project Management :
- Assist in the planning and execution of special projects and initiatives.
- Track project progress and provide updates to the executive.
- Coordinate with internal and external stakeholders to ensure project timelines are met.
- Ability to work independently and handle multiple tasks simultaneously.
Relationship Management :
- Build and maintain relationships with key business contacts, clients, and stakeholders.
