Role Summary

We’re looking for a resourceful and detail-oriented Office Manager to become the operational heartbeat of a busy London office. Supporting the leadership team while overseeing day-to-day administrative and business functions, you’ll bring structure, energy, and calm to a fast-moving environment.

This is an ideal role for someone who thrives on variety, takes ownership, and loves building efficient, people-centred systems. The position also plays a central role in company communications, events, and compliance activities.

Key Responsibilities

Leadership & Admin Support

• Manage executive diaries, internal scheduling, travel bookings, and confidential correspondence.

• Provide logistical support across business and personal matters for senior stakeholders.

• Ensure seamless coordination of meetings, agendas, and follow-ups.

Operations & Office Oversight

• Run the day-to-day rhythm of the office, from supplies and contractors to IT and space presentation.

• Keep physical and digital systems organised and current.

• Maintain a welcoming, professional environment that reflects the business’s culture.

Finance Administration

• Coordinate invoices, expenses, reconciliations, and payroll-related documentation.

• Liaise with external accountants on VAT and statutory reporting.

• Track budgets and assist with monthly financial administration.

People & Culture

• Support employee onboarding, HR record keeping, and internal documentation.

• Lead on wellbeing initiatives, seasonal events, and staff communication.

• Track leave, manage internal comms, and champion a positive team atmosphere.

Marketing & Content Coordination

• Prepare property listings, marketing materials, and social media content.

• Maintain and update the website, digital listings, and CRM platforms.

• Help shape the company’s online presence and audience engagement strategy.

Compliance & Risk

• Conduct AML checks and ensure onboarding procedures meet legal standards.

• Maintain the firm’s compliance records and manage updates to internal policies.

What You’ll Bring

  • 3+ years in an EA, Office Manager, or business support role—ideally in property, creative industries, or high-growth SMEs.
  • Sharp attention to detail and a naturally structured approach to work.
  • Strong communication skills and a polished, proactive demeanour.
  • Tech confident—fluent with Microsoft Office and comfortable using CRM or marketing tools.
  • Discretion, diplomacy, and a sense of humour.
  • A calm, adaptable mindset—ready to spin plates and spot what needs doing next.
