Job Description:
We are now recruiting for an EPA Co-ordinator to join our EPA Delivery team, on a fixed-term basis, working at our Swindon offices located on key transport links in the town centre.
About the role
Our team of EPA Co-ordinators support the assessment of BCS products requiring an end point assessment. They co-ordinate the availability of all parties to attend the assessment methods set out in the standard as well as supporting the ongoing recruitment and onboarding process of assessors.
The team also supports the co-ordination of the Quality Assurance process for all standards and qualifications within the EPA process.
Key responsibilities:
- Processing evidence for apprentices entering the End Point Assessment stage of their apprenticeship.
- Ensuring each stage of the End Point Assessment process within agreed service levels, including but not limited to:
- Uploading assessment material to the apprentice record.
- Checking assessment materials and booking assessment interviews.
- Ensuring documentation is fully signed as per the assessment plan.
- Sourcing assessors who meet the requirements of the assessment method with associated interview licenses.
- Allocating assessment methods to approved assessors and sending interview confirmations to all parties.
- Creating final grade reports for training providers, consolidating reports to give the overall grade, and uploading final grade reports.
- Maintaining accurate records for apprentices and updating End Point Assessment windows in line with assessment plans.
- Using the correct meeting platform for each assessment method, setting up and coordinating all parties.
- Ensuring the correct documentation is issued for each assessment method.
- Chasing training providers to ensure apprentices complete assessments within their EPA window, including coordinating assessors to meet tight deadlines.
- Reconciliation of assessment methods, including resits/retakes, raising invoices against training providers for the full EPA process.
- Attending training provider meetings to update on apprentice status and produce reports.
- Coordinating and providing professional responses to correspondence received within the EPA Team mailbox.
- Coordinating workflow within and between other BCS teams to ensure timely delivery of management information.
- Processing Associate Assessor claims and invoices, liaising with Finance for payments, and resolving queries.
- Processing and reviewing appeal investigations within agreed service levels, ensuring proper documentation and system updates.
- Processing and reviewing reasonable adjustments, ensuring all relevant parties are informed and data protection regulations are followed.
- Assisting with the recruitment process for Assessors, including checks, contracts, and training.
- Coordinating the onboarding of assessors, supporting them through the EPA processes.
- Maintaining Assessor availability on the EPM Database system.
- Reviewing and updating working instructions for the EPA Team as needed.
- Carrying out manual certificate requests and handling queries related to certificates with ESFA.
- Maintaining knowledge of Apprenticeship Assessment Plans and Occupation Brief documentation.
- Updating systems to reflect the current status of apprentices in their EPA journey.
- Preparing monthly statistical reports and analyzing data as required.
- Collaborating with other BCS departments to achieve shared goals, share best practices, support projects, and contribute to improvements.
