Job Introduction

Are you organised, proactive with exceptional customer service skills? We’re recruiting for a Facilities Administrator to join our team at Tipton.

It will involve carrying out a wide range of administrative tasks supporting the Facilities function under the supervision of the Facilities Co-ordinator. Including front of house duties, meeting room administration, advice for other locations and contractor monitoring.

Along with having experience as an Administrator and/or Facilities role, you will hold GCSEs with Grade A*-C/4-9 or equivalent. Evidence of your qualifications will be required prior to appointment.

Main responsibilities

  1. Receive, sort and distribute incoming and outgoing mail.
  2. Purchase and issue stationery according to purchase agreements and guidelines; co-ordinate orders for printed stationery.
  3. Maintain noticeboards in a tidy and orderly way and ensure that appropriate information is circulated to staff and placed on noticeboards in a timely manner.
  4. Arrange and co-ordinate repairs and maintenance of buildings and equipment.
  5. Resolve internal and external customer enquiries.
  6. Assist with the co-ordination, organisation, recording and production of contractor, visitor and tenant identity cards.
  7. Deal with the day-to-day administration of the access control systems.
  8. Arrange for corrective action and repair of CCTV and Alarm systems where required.
  9. Make reservations for meeting rooms.
  10. Maintain computer-based record systems within Facilities.
  11. Raise and process purchase orders and invoices.
  12. Assist with the performance management/measurement of Facilities contracts.
  13. Exercise cost awareness and be part of the process exercising budgetary control over Facilities activities and preparation of financial control documents.
  14. Take charge and run the reception area as required.
  15. Contribute to contract review meetings with contract account managers when required.
  16. Assist in maintaining the environmental ISO14001 standard at key locations.
  17. Support the Facilities Manager and co-ordinator in preparing and testing local emergency preparedness and supporting site emergency teams.
  18. Contribute to the administration of operational budgets and projects.
  19. Ensure adherence to internal controls and procedures.
  20. Provide short-term cover for the Facilities Co-ordinator.

You will need excellent customer service and communication skills with a good telephone manner. Attention to detail, proficiency in Microsoft Office, and the ability to work using initiative with minimal supervision are key to success in this role.

Flexibility is required, including occasional travel to support other facilities, such as the office in Castle Donington. Knowledge of the Company systems (E5 / CROWN / CAD) would be advantageous.
