Job Summary:
Under direct supervision, the Payroll Specialist performs the full range of record-keeping and payroll processing activities. Responsibilities include administrating time and attendance, calculating wages and deductions, resolving out-of-balance payrolls, processing direct deposits, and supporting payroll compliance in accordance with company procedures and collective bargaining agreements. The role requires attention to detail, knowledge of payroll laws, and the ability to maintain effective working relationships.

Job Responsibilities:
  • Audit and maintain timekeeping records for accuracy and compliance
  • Administer time and attendance records and direct deposits
  • Verify earnings and process wages, including overtime and payroll deductions
  • Update tax status, payment changes, W-4s, and other payroll data
  • Distribute bi-weekly payroll checks and payroll reports to relevant departments
  • Manage payroll corrections and employee inquiries
  • Ensure payroll compliance with collective bargaining agreements and federal tax laws
  • Calculate and process terminal leave payments and special pay requests
  • Process involuntary deductions (e.g., levies, garnishments, court orders)
  • Perform quality control and validation of payroll processing
  • Collaborate with Payroll Analyst to maintain updated payroll procedures
  • Provide payroll support and training to peers as needed
  • Operate standard office equipment and payroll systems (e.g., Oracle)
  • Run and submit payroll reports and contributions files
  • Assist with payroll audits and provide historical payroll data when required

Required Skills:
  • Proficiency in electronic payroll systems (Oracle preferred)
  • Intermediate Microsoft Excel skills; familiarity with Word and Outlook
  • Accurate data entry and mathematical calculation skills
  • Knowledge of payroll practices, bookkeeping, and tax law
