To provide support in all training and competence processes and to act as the training and competence system
administrator across all UK business units. To ensure compliance with training and competence requirements, in
accordance with company and client processes and procedures
Main Responsibilities
Providing administrative support to the training and competency team, for example, completing forms,
updating Company training and competency systems, training matrices, electronic filing of documentation,
certification verification and paperwork from third party awarding bodies.
- Support Training and Competency Advisor in review/gap analysis of monthly training bookings within training
provider, to ensure maximum return for our ECITB Levy through Grant recovery. This includes updating claim
sheets with accurate information.
- Assigning e-learning to employees in the relevant Learning Management System(s).
- Issuing training/competency expiry reminders to relevant employees and raising Training Request Forms.
- Handling of incoming certification by mail and scanning into training database.
- Complete sample personnel audit checks on a regular basis and highlight any gaps to relevant teams in
advance of audits.
- Carry out regular updates to remove leavers from the relevant system and conduct spot checks on accuracy
of records within relevant related systems.
- Spot check incoming certification and provide feedback to external training provider, where required.
- Support all new starts with training system overview/guidance.
- Follow up with internal Training champions to ensure accuracy of recording in the training system and collate
findings/best practise to share across the group.
- Record training completions on Onboard Tracker.
- Create internal training certificates upon confirmation of course attendance and record as required.
- Provide management and internal stakeholders on a regular basis, training and competency related
reports, as agreed.
- Support the business and participate in the continuous review and development of training and competency
related systems and processes to ensure they remain robust and fit-for-purpose.
- Provide support to the wider organisation with training and competence related queries and respond to
incoming emails in the shared mailbox.
- Liaise where required, with internal and/or external stakeholders.
- Strive for full completion of set objectives or KPI’s.
Experience & Qualifications
- Previous experience in a similar role, in particular processing and verification of certification.
- Knowledge of the oil and gas industry(Desirable)
- Familiarity with mandatory certification requirements offshore / onshore sites.(Desirable)
- Experience in maintaining and administering changes within digital training/competence system.(Desirable)
- Industry Training/Skills system awareness.(Desirable)
- Understanding of the importance of quality assurance.
- Strong IT skills, experience using excel and other Microsoft applications.
- Excellent communication skills (Written & Verbal)
