Senior Regional Business Administrator
37.5 hours per week
£28,300 Per annum based on experience
This role covers a large area of the south west, this will be office based at whichever of our locations is nearest to you. (Devon, Somerset, Wiltshire or Bournemouth)

About The Role:
Specific Staffplan requirements
- Ensure critical Staffplan details are audited promptly following changes to ensure these are accurate and complete for changes in staff details.
- Investigate issues arising when data discrepancies arise; clarify and share correct information and ensure lessons are learned and addressed in processes/with colleagues.
- Run Staffplan reports as requested by the ROM and/or AOMs and/or executive directors.
- Liaise with operational colleagues to ensure Staffplan is correctly maintained and is used by the services effectively and to create transparency for the RM and AOM in the business.
Specific Individuals we Support requirements
- Monitor and report to the ROM and AOMs on compliance with the completion of admissions checklists.
- Ensure that any commissioning documentation received by the Senior BA is sent to the national referrals team.
- Answer specific administrative queries from commissioners with regard to contract and placement documentation held within NCG; flag any issues arising to the national referrals team.
Specific colleague support requirements
- Be the line manager for BAs within the region with responsibilities including:
- Ensuring the effective induction and mentoring of new BAs (including ensuring nationally delivered induction elements occur).
- Authorisation of annual leave such that all BA duties can be fulfilled/covered during absence.
- Ensuring any issues arising from supervisions are addressed as appropriate regionally (via the ROMs) or nationally (via relevant support departments).
- Arranging agreed regional meetings of BAs (incl. those involving ROM/AOMs and/or other regional/national colleagues).
- Identify any specific local and region-specific systems and processes that other BAs can then be trained in such that BA cover is effective in the event of absence.
- Ensuring cover for Business Administrators within the region during their absence (providing cover themselves if necessary).
Support the ROM and AOMs in the fulfilment of their duties including:
- Dissemination of any relevant updates to the BA team.
- Supporting the effective delivery and coordination of agreed priorities (especially if the ROM and/or AOMs are out of the office and need assistance and follow-up whilst unavailable).
- Taking minutes of agreed regional and management meetings.
- Collating and analysing operational, quality and financial data.
- Attending relevant HR meetings (grievances, disciplinaries etc) and taking minutes.
- Preparation, for management review, of key HR documentation that needs tailoring from templates.
- Assisting in the effective induction from a BA-liaison perspective of AOMs, RMs, Service Managers and Team Leaders.
Operational duties include:
- Ensuring audits on personnel files have been completed to the required standard within the expected timeframe.
- Maintaining additional 2nd level of independent oversight of training compliance, supervisions, appraisals, agency and holiday trackers for staff.
Specific finance requirements
- Assist and collaborate with the national finance team with regard to financial queries and escalate accordingly.
Assist the ROM as requested with regard to the review and reporting of financial information required by NCG centrally (including monitoring of agency use and spend).
About you:
To be successful in this role, you will have:
- A full UK Drivers licence
- Strong IT Skills
- Experience with Microsoft Office applications
- Excellent communication skills and the ability to build strong work relationships
- As this role covers a few of our services, you will be able to travel between and work remotely.
- The ability to be highly organised and self-motivated individual – capable of organising and delivering own workload within the context of others’ commitments and supporting wider management and organisational priorities.
