Executive Assistant to Director – global think tank

Location: West End, London

Salary: 45k per annum

Benefits: 30 days holiday + bank holidays

Exceptional EA required to support a busy Executive Director within a large, global not-for-profit in the heart of the West End. Providing EA support to the Director and wider team of approximately 30 staff, the Director travels often, connecting with high-profile philanthropic donors and foundations globally. The EA will provide high-level diary, travel and administrative support, and work closely with a collaborative team of EAs within the business to organise in-house meetings and company/social events.

EA Responsibilities

  • Diary Management: Coordinate complex schedules, appointments, and calls across multiple time zones.
  • Global Travel Support: Handle visas, itineraries, accommodations.
  • Meetings & Events: Arrange logistics, prepare agendas, track action items, and take minutes.
  • Team Coordination: Administrative support and team events.
  • Stakeholder Management: Liaise with internal and external stakeholders, maintaining strong relationships and confidentiality.
  • Document Preparation: Edit reports, presentations, and other materials. Draft and edit
  • Expense Management: Oversee claims and approvals. Track spend and assist with forecasting.
  • Research Support: Prepare briefings and collect data on prospects.
  • General Admin Support: Maintain CRM and filing systems, manage gifts and entertainment records, and assist the wider team, including EA cover when needed.

EA Specification

· Senior-level EA/PA experience, including global travel coordination.

· Experience in fundraising or business development.

· Proficiency in Microsoft Office, communication, and organisational skills.
