Summary

The Freedom Networks team have a vacancy for Administration Assistant. The main purpose of the role will be to work within the Distributed Network Operators (SSE and SPEN) business, across Scotland.

Administering of workstreams within the DNO Contracts ensuring that work is carried out safely and in line with company procedures and client specifications. Helping the Project Managers to maintain a full programme of works, ensuring all operatives work to their full productivity levels.

Some of the key deliverables in this role will include:

  • Working with work management system and administration team to ensure that all jobs are raised, scheduled, assigned and completed as required.
  • Working with Freedom’s delivery Project Managers on the procurement and ongoing management and engagement of Franchisees & Subcontractors.
  • Review and process any returned documentation received from clients to ensure accurate job completions on work management system.
  • Support commercial and financial month-end processes, raising of invoices and ensuring forecasted works are invoiced.
  • Raise Purchase Orders where applicable.
  • Commercial and administrative involvement with Works Management System and other IT software. Assist with general administrative duties.
  • Effective communication with various levels of personnel on the framework, internal and external. Post-audit of works commercially completed.
  • Management and upkeep of our employee and subcontractor training and competency systems, organizing & booking training courses, requesting training records from subcontractors to ensure our competency matrix is kept up to date.
  • Supporting the Operations Director and Manager to resolve of blocked invoices and outstanding customer debt.

What we’re looking for :

  • Strong IT Literacy & Numeracy Skills including detailed experience in MS Office 365 – Required
  • Full UK Driving Licence – Desirable
  • Experience in a Administration role – Desirable
  • Experience with Framework contracts – Desirable
  • Experience of using work management systems, – Desirable
  • Experience with Purchase Order processes – Desirable
  • Experience with Office 365 – word, excel, PowerPoint – Desirable
