Job Description

HR & Recruitment Assistant Rugby | Up to £28,500Full Time | Permanent – Fully office based

Hours: Monday to Thursday 8.14-4.15 and Friday 3.45 finish

Macildowie are working with a client based in Rugby who are looking to recruit an experienced HR Assistant to support across both recruitment and training. This is a fantastic opportunity for someone looking to build on their HR and resourcing experience in a people-focused and process-driven environment.

Working closely with the HR Business Partner and wider management team, you'll play a key role in delivering efficient end-to-end recruitment and supporting the coordination of training across the business.Key Responsibilities

Recruitment

  • Partner with hiring managers to create engaging job descriptions and adverts
  • Proactively source talent using job boards, social media, and networking
  • Screen applications and coordinate shortlisting
  • Support the hiring process end-to-end including issuing contracts and onboarding documents
  • Carry out right to work checks and reference collection
  • Maintain and update the employee database with new starter details
  • Regularly review and negotiate supplier agreements, rebates, and fees
  • Manage referral processes and payments
  • Report on recruitment activity and identify process improvements

Training

  • Maintain training records and book sessions using PowerApps, Excel, and Unit4
  • Coordinate with training providers and delegates to ensure smooth delivery
  • Handle logistics such as venues, accommodation, catering, and course materials
  • Issue course briefs, manage feedback, and post-training evaluations

General HR Admin

  • Organise internal events, budget meetings, and conferences
  • Ensure HR system data is accurate and up to date
  • Send internal HR comms such as announcements and policy updates
  • Dispatch welcome packs and oversee employee surveys
  • Support the HR team with ad-hoc projects and general administration

What We're Looking For

  • Previous experience in recruitment, resourcing or HR coordination
  • Strong communication and organisational skills
  • Confident using job boards and recruitment platforms (LinkedIn Recruiter, etc.)
  • Proficient with Excel and comfortable working with systems like Unit4
  • Detail-oriented, with a proactive and positive attitude
  • Able to build strong working relationships with stakeholders
  • REC (CertRP) qualification is a bonus, but not essential
