We are seeking a proactive and detail-oriented Executive Assistant to support the Vice Dean at a prestigious academic institution. This role requires exceptional diary management skills, flexibility, and a collaborative approach. The ideal candidate will be experienced in handling complex schedules and delivering high-quality results efficiently. You will play a key role in supporting the Vice Dean, ensuring smooth operations and effective coordination across multiple objectives in a dynamic, hybrid working environment.

EXECUTIVE ASSISTANT TO VICE DEAN ROLE:

  • Provide proactive secretarial and administrative support to the Vice Dean (Education), managing complex diaries, scheduling meetings, and coordinating agendas, papers, and catering needs.
  • Draft and edit correspondence, presentations, and communications; manage email inbox and anticipate urgent issues requiring prioritisation or rescheduling.
  • Organise UK and international travel, including researching itineraries, booking accommodations, and ensuring necessary checks (e.g., risk assessments, insurance, vaccinations).
  • Support the Vice Dean’s involvement in internal committees and external boards through calendar management, documentation, and project timeline coordination.
  • Coordinate key events and VIP visits in collaboration with the Dean’s Office Events Manager and provide high-profile event support when required.
  • Manage internal processes, review office systems, maintain intranet content, and oversee office resources, including supplies, expenses, and purchase orders.
  • Liaise with staff and external partners, fostering strong relationships while upholding confidentiality, professionalism, and the School’s reputation.
  • Provide cross-cover for the Dean’s Office EA, contribute to investigations and committees, and support HR processes such as contract amendments and contingent worker records.

EXECUTIVE ASSISTANT TO VICE DEAN ESSENTIALS:

  • Having 12 months of experience working as an executive assistant or personal assistant.
  • Strong stakeholder engagement experience.
  • Experience working in higher education.
  • An organised and adaptable mindset.
