About The Role
We are looking for a proactive and detail-oriented Allocations Coordinator to join our Marketing team. This is a unique and rewarding opportunity to support the seamless transition of clients across our national business. You’ll play a key role in delivering excellent client outcomes by coordinating allocation activity following acquisitions, Financial Planner movements, or service changes. Working closely with the Client Engagement Manager, Financial Planners, and other business stakeholders, you’ll ensure that every client transition is handled with professionalism, accuracy, and care. This is a varied and fast-paced role that requires strong coordination skills, high attention to detail, and the ability to manage competing priorities.
About You
You are a highly organised and motivated individual with a strong background in Financial Planning administration or client services. You thrive in a structured, process-driven environment, and you take pride in delivering accurate, consistent work. You are confident using systems like Intelligent Office and Excel (v-lookups, filtering), and you’re comfortable working independently to tight deadlines. You are professional and discreet, with excellent communication skills and a genuine commitment to delivering positive client outcomes.
Key Responsibilities Include
- Coordinating the allocation and reallocation of clients across the business
- Maintaining accurate records in Intelligent Office (iO) and other internal systems
- Liaising with internal stakeholders to gather handover information and arrange meetings
- Preparing internal communications to support allocation activity
- Supporting tracking and reporting on ‘at risk’ clients and allocation progress
- Ensuring provider records are updated following allocation changes
- Supporting consistent client communication in partnership with Marketing
- Responding to allocation queries in a timely and professional manner
- Supporting the delivery of monthly reporting to the Allocations Board
Essential Skills And Experience
- At least 2 years’ experience in a Financial Planning or administrative support role
- Strong Excel and IT skills, including v-lookups
- High attention to detail and a methodical approach
- Excellent organisational and interpersonal skills
- Experience using Intelligent Office (Intelliflo)
- Ability to manage multiple priorities independently
Desirable Skills And Experience
- Understanding of Attivo’s services and client allocation process
- Progress toward Financial Planning qualifications
