We are seeking a highly organised and compliance-focused Software Asset Practitioner to lead the strategic transformation of our SAM function and lead the governance, optimisation, and lifecycle management of software assets across our EMEA offices. This role will lead the modernisation of SAM practices, tools, and governance to ensure compliance, optimise software spend, and align with evolving business and technology landscapes.

Responsible for improving the efficiency, effectiveness, and quality of services provided to customers, the business, and stakeholders. Engaging IT colleagues at all levels in EMEA and North America to participate in and contribute to the successful definition and ongoing implementation of Service Management processes and controls. Office environment 3 days per week. May require occasional travel to other company locations.

  • Software Asset Lifecycle Management: Design and define Software Lifecycle Policies, processes, and procedures. Embed compliance frameworks for onboarding, usage, renewals, and decommissioning. Oversee the end-to-end lifecycle of software assets, including procurement, deployment, usage tracking, renewal, and retirement. Scope, baseline and maintain a centralised and accurate software inventory using SAM tools (e.g., ServiceNow) including integrations with finance and procurement systems (Coupa and SAP). Ensure software installations and usage align with licensing entitlements and vendor agreements. Build and manage an entitlement repository across all key vendors.
  • Compliance & Audit Readiness: Ensure software asset management practices comply with internal policies and external regulatory requirements (e.g., SOX, GDPR, PRA/FCA). Lead internal and external software audits and ensure license compliance. Monitor regulatory and vendor-specific compliance requirements (e.g., Microsoft, Oracle, Adobe). Prepare and support internal and external audits by providing accurate license records, usage reports, and compliance documentation. Implement controls to prevent unauthorised software usage and ensure proper license allocation.
  • Vendor & Contract Management: Support business owners and procurement with software vendor relationships across EMEA, including contract negotiations, renewals, and true ups. Collaborate with procurement and legal teams to ensure favorable licensing terms and cost-effective agreements. Track software contracts and ensure timely renewals and compliance with terms.
  • Optimisation & Reporting: Analyse software usage data to identify underutilised licenses, cost-saving opportunities, and compliance risks. Identify opportunities for software cost savings through license optimisation, re-harvesting, and contract renegotiation. Produce regular reports, dashboards and insights on license utilisation, compliance status, and software spend. Recommend improvements to software procurement, deployment, and retirement strategies. Collaborate with procurement and finance to align SAM with budgeting and forecasting.
  • Operational Support: Collaborate with procurement, finance, and IT operations to manage asset procurement, budgeting, and vendor relationships. Monitor asset utilisation and identify opportunities for cost savings, redeployment, or optimisation. Design and provide training to operational teams on software asset management operating procedures and tools.
