The role

This role is a part-time (4 days/week) fixed term contract for 8 months, starting August 2025. You will be required onsite. We are seeking a proactive Administrator to support the project team at our Wallingford development. This role involves ensuring health & safety compliance, coordinating meetings, and managing day-to-day administrative functions.

  • Track and file Risk Assessment & Methods Statement (RAMS); manage weekly Toolbox Talk (TBT) communications and tracker updates.
  • Maintain site rota (holidays, inductions, training, etc.) and project meeting diaries, including booking and coordination of onsite meeting rooms.
  • Liaise with Customer Relations team; maintain Demo & Handover Snagging tracker.
  • Issue proof of delivery & waste tickets on QFlow, the sustainability management system.
  • Process PPE requests.
  • Manage site supplies, including ordering stationery, consumables, and welfare items.
  • Raise subcontractor payments and assist with PPAC system issues.
  • Support induction processes and complete Datascope cards (construction workforce management system).
  • Maintain accurate records for training, headcount, workforce analysis, and apprentices.

MONTHLY

  • Collate and upload sustainability data (utility meters, fuel receipts) to CR360.
  • Update Sustainability, Timber, and Contractor Performance boards.
  • Assist with monthly Housing Association Developer reports.

Additional Duties:

  • Handle IT queries, produce signage, and support compound maintenance.
  • Welcome visitors and manage deliveries.
  • Draft resident communications for disruptive works.
  • Support Considerate Constructors Scheme assessments.
  • Provide ad hoc administrative support to the Site Admin Manager and Construction Director.
  • Attend, monitor, and minute site meetings.

Experience Required

  • Full UK driving licence and willingness to travel to other sites or head office (Taplow) as required.
  • Confident in minute-taking and communicating with senior stakeholders, including Directors and the Ops Board.
  • Flexible to provide holiday cover at other sites when needed.
  • Proficient in Microsoft Outlook (including diary management), Excel, and Word.
  • Strong attention to detail with excellent organisational skills.
  • Effective communicator with strong verbal skills.
  • Able to work independently and collaboratively within a team.
  • Adaptable and open to change.
  • Capable of managing workload and prioritising tasks efficiently.
