Job Overview:

As a Jobs Coordinator at Flare Electrical and Solar Contractors, you will play a pivotal role in ensuring the smooth running of day-to-day operations. You will be responsible for a variety of administrative and operational tasks, supporting both internal staff and external partners to keep projects on track and ensure high-quality service delivery.

Key Responsibilities:

  • Payroll Management – Oversee payroll processes and ensure accuracy and timeliness.
  • Processing Subcontractor Invoices – Ensure timely processing and payment of subcontractor invoices.
  • Recruitment and Liaison – Work with recruitment agencies to ensure staffing needs are met as and when required.
  • Job Scheduling – Coordinate and schedule jobs to ensure efficient use of time and resources.
  • Raising Purchase Orders – Create and manage purchase orders for necessary materials and equipment.
  • Customer Communication – Liaise with customers via phone and email to ensure high customer satisfaction.
  • Payment Processing – Take payments over the phone and ensure correct processing.
  • Invoice Management – Organise, track, and ensure invoices are paid on time.
  • Credit Applications – Apply for credit accounts with wholesalers to facilitate the purchasing process.
  • Accommodation Arrangements – Organise accommodation for staff as required.
  • Fleet Management – Oversee fleet operations, including fuel tracking and vehicle maintenance (including arranging repairs, MOTs, services etc).
  • Training Organisation – Arrange and track compulsory staff training and development.
  • DBS Check Filing – Maintain records of DBS checks and ensure compliance.
  • Staff Onboarding – Manage the onboarding process for new employees.
  • Upwork Management – Oversee and manage Upwork account for freelance workers.
  • Calibration Management – Track and schedule calibration of equipment.
  • Receipt Tracking – Ensure all receipts are properly tracked and filed for financial records.
  • ECS Card Applications – Apply for new ECS cards for all staff members as required.
  • Policy and Procedure Development – Create and implement new policies and procedures to improve operational efficiency.
  • SimPRO Setup and Support – Assist with the setup and ongoing support of the SimPRO system.
  • Invoice and PM Support – Provide administrative support to the Project Managers and assist with invoicing queries.

Skills & Qualifications:

  • Proven experience in a similar administrative or coordination role, ideally in the construction or electrical sector but not essential.
  • Strong organisational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple tasks and priorities effectively.
  • Proficient in using MS Office Suite and other office software.
  • Experience with payroll, invoice processing, and financial tracking is an advantage.
  • Knowledge of SimPRO or similar software is preferred but not required.
  • Strong problem-solving skills and a proactive approach to handling issues.

Ad-Hoc Responsibilities:

  • Membership Renewals – Manage and process renewals for industry memberships (e.g., Trading Standards, NICEIC).
  • Waste Management – Oversee waste management and ensure compliance with relevant regulations.
  • Office Supplies – Monitor office supplies and reorder as necessary.
  • Note Taking – Take notes at meetings and ensure they are distributed to relevant parties.
  • HR Assistance – Support the HR department with various tasks, such as employee record management and assisting with recruitment processes.

What We Offer:

  • Competitive, in the range of £28,000 – £30,000 per year, depending on experience.
