About the role
We’re looking for a proactive, detail-oriented Logistics & Operations Administrator to support the day-to-day operations of our busy logistics team. This is a varied role, ideal for someone who’s comfortable working with data, loves solving problems, and thrives in a fast-paced environment. You will also have some Head Office duties, including managing incoming and outgoing post and courier services, assisting with Health & Safety compliance such as fire drills and supporting first aid processes (don’t worry, training will be provided!), and lending a hand with internal events and engagement.
If you enjoy working with numbers, have strong Excel skills, and can manage multiple priorities effectively, we’d love to hear from you.
What you’ll do:
- Manage the import of products into UK by air, road and sea, including approving incoming shipment documents and liaising with freight forwarders, couriers and warehouse contacts for delivery bookings.
- Work closely with our buying and merchandising teams to understand timings and plans for incoming shipments.
- Record and track all incoming shipments, ensuring suppliers are booking on time and follow up with freight companies regularly to ensure timely delivery.
- Assist with any supplier shipping queries.
- Check stock status and process items through our ERP system, Business Central, when received in.
- Liaise with colleagues to answer queries on incoming/outgoing shipments and proactively communicate any delays and potential solutions.
- Investigate any shortages with suppliers and forwarders.
- Produce and manage all warehouse receipts to ensure all deliveries are visible and accurate for the warehouse to book in against.
- Investigate any inbound shortages with warehouse, suppliers and forwarders.
- Check all invoices received, ensuring that have been accurately charged.
- Process sample requests for various departments, ensuring accurate stock tracking and availability to support business needs.
- Improve product availability, ensuring buffer levels are set correctly.
- Update and maintain daily operations reports to provide accurate and timely data for the team.
- Manage Head Office post and courier services.
- Support with Health & Safety compliance (including fire drills and first aid - training provided if needed).
- Provide ad-hoc support for internal events and engagement activities.
What you’ll bring:
- Effective communication skills.
- Excel experience, including knowledge of functions such as VLOOKUP, Pivot tables, conditional formatting and IF statements.
- Confident in managing and manipulating large data sets.
- Strong attention to detail.
- An analytical & innovative mindset.
- Fire, Health & Safety Training (desirable but not essential).
Why you’ll love it here:
- A supportive, dynamic, and creative workplace.
- Growth opportunities as we expand and innovate.
- Generous holiday allowance with flexible hybrid working options.
- Continuous professional development to keep you ahead of the curve.
- Social events that celebrate our collective achievements.
- Early-finish Fridays and flexible hours for a better work-life balance.
- Exclusive company discounts and perks.
