An exciting opportunity has arisen within the Chemotherapy Day Unit Department for a highly efficient administrator who can support the patient flow through the Day Unit. We are looking for an individual who is flexible and enthusiastic as well as being resourceful. You will be able to support the day unit with a range of administrative duties which include admissions, discharges, waiting list entries on CERNER and manage new referrals to the service which includes booking appointments etc.

You will need to have experience of managing all office based administration, including effective and appropriate letter skills. Possess excellent customer services skills including telephone and face to face contact with service users. You should have the ability to think calmly and logically under pressure and have a positive attitude to maintaining high standards at all times. You will be quick to learn, be able to work as part of a team and also possess the ability to work unsupervised using your own initiative. The chemotherapy service administrator is an integral member of the Macmillan Chemotherapy Unit Team. Working under the supervision of the Senior Sister the post holder will coordinate all administrative aspects of the day care service including data collection, reception and clerical duties.

Main duties of the job:

  • To liaise directly with the patient regarding their treatment, providing information and reassurance and managing patient expectations around the chemotherapy experience.
  • To liaise with the clinical teams and nursing staff to prioritise the scheduling of new referrals.
  • To schedule all chemotherapy treatment on the Chemotherapy Day Unit (CDU) in line with local guidelines and protocols.
  • To plan patient treatment and unit capacity efficiently, having consideration for a range of influencing factors such as the nursing staff rota, pharmacy turnaround times, availability of blood results etc.
  • To ensure that all patients leave the CDU with an appointment for their next chemotherapy assessment clinic and treatment, where appropriate.
  • To ensure that the coding department receives the required patient information on a daily basis so that all chemotherapy income can be fully recouped.
  • To be responsible for regular collection of data and information as requested by the Lead Chemotherapy Nurse, Senior Sister and/or Service Manager, including quality statistics and patient details.

Person specification:

  • Good standard of education including GCSE equivalent in Maths and English.
  • NVQ level 3 in customer care or equivalent.
  • Minimum 6 months experience in healthcare environment.
  • Understanding of working with patients who are chronically ill.
  • Experience of using spreadsheet software and databases.
  • Experience in patient administrator system (CERNER).
  • Chemotherapy scheduling experience.
  • Excellent communication skills.
  • Ability to work flexibly and prioritise workload.
  • Ability to listen and empathise with patients and visitors.
  • Awareness of patient confidentiality.
