The predicted salary is between 28800 - 42000 £ per year.

Competitive salary negotiable based on experience

Role will include but not exclusive to following duties:

REPONSIBILITIES: PRODUCTION

  • Assisting and enabling the efficient and fluid running of Departments on a day to day basis reporting to line managers
  • Co-ordinate and manage Department Calendars w/ prompter/reminders to line managers
  • Maintaining and up-dating Blinkbid information: Updating budgets with current data and reconciliations
  • Researching locations, scouting, recces of locations or streets, managing options from location agencies
  • Working with producer to create options chart for all talent
  • Creating PDF presentations for clients of locations/talent/set etc.
  • Researching and booking hotels and crew accommodation
  • Booking global travel – flights/taxis/trains – and creating travel grid
  • Working with producer to create call sheet and providing related information
  • Keep Server up to date w/ Job information ie. Job Bag, signed contracts, receipts, invoices.
  • Petty Cash: request from Accounts, spreadsheet, receipts, and reconciliations for Department
  • Managing credit card reconciliation for Production dept and specifically for shoots
  • Organise invoices for payment with Accounts Dept in a timely manner
  • Manage Job confirmations and Global Status information
  • Co-ordination and briefing of freelance staff ie. Scouts or production assistants
  • Managing freelance staff Per Diem + Expenses w/ relevant back up receipts
  • Assisting onset often being first to arrive and last to leave
  • Responsible for Production Kit keeping it in a tidy and well organised manner replenishing when needed
  • Managing returns of product or hire equipment
  • Build relationships with and research new Suppliers – catering/hotels/locations

REPONSIBILITIES: CASTING

  • Creating job folder to save all relevant documents per job in an organised manner
  • Coordinating model briefs to agencies
  • Creating and maintaining option chart for model suggestions
  • Creating bespoke PDF’s for Client model option presentations
  • Assist in creating budget for clients using budgeting tool Blinkbid
  • Reconciling budget with Accounts and creating final invoice
  • Receiving and checking supplier invoices and forwarding to Accounts for payment
  • Managing job confirmations and Global Status information
  • Managing department calendar for jobs and meetings
  • Scouting for realcast models in UK and possible global locations
  • Build and maintain good relationships with model agencies and suppliers

GENERAL, TECH/IT, WEB, ARCHIVE, MARKETING

  • Assist CEO with marketing research online and social media
  • Main point of contact for uploading new work and posts on social media platforms
  • Create bespoke presentations showing creative research for pitch/briefs /marketing
  • Updating Salesforce and internal marketing spreadsheets with new contacts and potential leads
  • Preparing CEO and Line Managers for meetings including organising presentation materials on IPAD etc
  • Devising when necessary and maintaining Department systems & adhere to process
  • Maintaining office organisation for Department
  • Answering phones and being the first point of contact
  • Maintain server image archive for all work and updating the content of the website on all devices, chase Clients for materials, collate, label, caption, keyword, resize & layout all incoming imagery so that they are web ready to upload for use on the website
  • Manage technical issues for the team w/ support of outsourced IT support
  • Create bespoke presentations showing creative research for pitch/briefs /marketing
  • Research new and innovative ways of presenting materials to Clients for Casting/Events/Production
  • Organising computer-based systems, storing paperwork, documents and information safely
  • Able to treat matter confidentially when and where necessary
  • Knowledge of Microsoft Word, Excel + G SUITE
  • Experience of using all Apple products
  • Skills with InDesign, Photoshop, Adobe Creative Suite
  • Prepared to travel to international offices and shoot locations
