You will be a part of a team, responsible for the management of Stark UK Property portfolio. In this position you will assist in the delivery of a full property and asset management service by providing key administrative support to ensure the smooth running of a busy professional department with a large and varied portfolio of properties. What you'll be doing: As a Property Management Assistant, you will communicate with a variety of stakeholders internally and externally. Whether your answering queries or raising an invoice, you will develop a strong knowledge of all things property/facilities management. Deliverables and performance: Setting up suppliers and raising purchase orders to ensure suppliers can be appointed. Ensuring payments are made in a timely manner and dealing with any payment queries. Ability to monitor and reconcile budgets for rent, rates, service charge and insurance. Auditing payments to ensure no anomalies have been posted to the ledger. Ensuring incoming and outgoing correspondence is dealt with promptly and efficiently. Preparing accurate documentation and reports for Property Managers. Researching queries on behalf of Property Managers relating to various property matters. Assisting in the coordination of our security consultants and maintenance of security at our vacant properties. Arranging meetings/appointments/site visits/inspections. Maintaining and updating a variety of property records to a high standard to ensure that accurate reports can be provided to the business. Responsibility for maintaining electronic/paper filing systems. Assisting in the smooth running of the office function, including maintaining office supplies, general equipment maintenance, welcoming visitors, etc. What you'll need to have: GCSE level (or equivalent) in Math's and English. Experience of working in a professional office environment. Ability to work both independently and as part of a team, prioritising a varied workload and being aware of meeting deadlines. Flexible attitude and willingness and ability to focus of a variety of different tasks, taking ownership for key areas of responsibility. Good knowledge of Microsoft Office, especially Excel Ability to confidently use a number of computer programs to maintain accurate records and produce high quality reports and documents. Ability to monitor and reconcile budgets for rent, rates, service charge and insurance Experience of maintaining electronic and paper filing systems.
