The role is critical in ensuring the statutory and regulatory compliance of the properties under group control (all brands). The consultant will ensure the overall compliance of the full portfolio in relation to HMO (mandatory, additional and selective) licensing regulations and Gas, Electrical, Smoke & Carbon, Legionnaires, along with any other requirements associated with licensing schemes. The role will prioritise licensing compliance, requirements and process licensing applications on behalf of clients. The consultant will liaise with landlords, tenants, contractors and other stakeholders as needed to facilitate the above and also submit licensing applications on behalf of landlords and escalate remedial works to the respective property manager or the landlord. The role is crucial in supporting Campions’ commitment to maintain a strong compliance culture and protect our customers, clients and the organisation.
Main Responsibilities
- Maintain full oversight of the current portfolio in relation to active licence expiry dates, new schemes being implemented and adherence to maximum occupier levels.
- Prioritise the application, processing and follow up of licensing applications on behalf of clients.
- Have good knowledge of specific licensing requirements in order to respond to client or branch queries.
- Fully review all licence documents and identify additional requirements imposed by the local authority.
- Notify and confidently advise landlords of the additional licensing requirements, checks, tests and reports needed and taking their instructions.
- Keep up to date with any new or extended licensing schemes where applicable.
- Have a good knowledge of Kamma software and update the Groups’ portfolio where necessary and is able to train new users of its function.
- Where a property is managed or instructed by non-managed landlords, arrange for an appropriate contractor to attend by generating works orders.
- Liaising with tenants and contractors to arrange required access and if suitable with the local branch to release keys.
- Conduct or arrange for property inspections to take place as per brand specific terms of business or as per licensing requirements.
- Adding verified documentation and setting correct expiry dates and ensuring all licence specific data is added to the CRM system.
- Ensure correct fees and charges are invoiced in accordance with the specific brands terms of business.
- Assist with the build and roll out of a new certificate verification software.
- Assist within the team where workloads increase or where absences are present.
- In collaboration with the rest of the team, ensure overall compliance for the group portfolio of tenanted properties is maintained.
Skills and Behaviours
- Role appropriate qualification and/or experience - technically strong and commercially astute.
- Minimum 3-5 years of experience in Property Management Compliance or a related field.
- Strong understanding of UK wide licensing schemes, statutory safety and certificate requirements for tenanted properties.
- In depth knowledge of laws and regulations applicable to residential lettings.
- Good understanding on deal progression of lettings transactions.
- Highly motivated and pro-active self-starter who has demonstrable ability to work to tight deadlines.
- Attention to detail and a commitment to accuracy.
- Effective communication and interpersonal skills, with the ability to present complex information clearly.
- Proficient in using audit tools and software.
