Act as first point of contact on the School of Engineering's Teaching Office reception desk, providing comprehensive administrative support to academic and administrative staff, as well as undergraduate and postgraduate Engineering students. Responsible for maintaining key systems related to teaching and quality assurance within the School of Engineering.
Main Duties and Responsibilities
- To act as a first point of contact at reception in a busy teaching office for staff, students, and internal/external customers, communicating efficiently, effectively, and courteously.
- Provide administrative support to student conduct cases, including logging cases, liaising with the Senate office, and clerking School conduct meetings.
- Provide administrative support to disciplines in the School of Engineering, including clerking discipline committees, managing paperwork via University systems, and producing accurate minutes.
- Support QA activities within disciplines, including processing course and program changes, and preparing accreditation documentation.
- Administer examinations, including preparing exam papers, liaising with external examiners, designing and processing Teleform exam scripts, and publishing results.
- Archive examination materials according to the University retention plan.
- Perform general office duties such as maintaining office equipment, notices, and stationery supplies; contribute to improving office systems.
- Monitor and approve all local room bookings within the School of Engineering.
- Undertake other duties as directed by the Head of the Teaching Office.
Knowledge, Qualifications, Skills, and Experience
Essential:
- A1 VQ 2/3, Standard Grades or equivalent including English, or relevant work experience.
- Proven excellent administrative skills.
- Ability to work under pressure, prioritize, and respond to changing priorities while maintaining high customer service standards.
- Ability to use own initiative and be proactive.
- Ability to work independently and as part of a team.
- Discretion and tact in handling confidential matters.

Terms and Conditions
Salary: Grade 4, £22,681 - £25,138 per annum pro rata. Part-time (17.5 hours/week). Covering maternity leave for up to 12 months, with shift pattern Monday and Tuesday 9am-5pm, Wednesday 9am-12:30pm.
