Location: Sheffield or Manchester based. Hybrid, 2 days a week in office.

The Personal Assistant provides administrative, secretarial, and logistical support to an assigned member of Insight's senior leadership team. They provide coordination and support directly to management and senior leaders including the facilitation of prompt, courteous, and effective communication channels with stakeholders.

Key responsibilities:
  • Scheduling & Calendar Management: Coordinate scheduling requirements for the assigned leader(s) and proactively manage their time with respect to priorities, goals, and objectives. Responsible for full email management, ensure all responses are dealt with in a timely manner whilst nurturing positive relationships with key stakeholders. Manage competing demands with a high degree of confidence and professionalism and handle matters expeditiously.
  • Internal & External Communications: Answer the phone, take messages and re-direct calls where necessary, receive and assist visitors and teammates where meetings are taking place. Prepare, draft, and execute correspondence on behalf of the assigned leader, streamlining communications to ensure the leader is organised in the most productive way. Show a high degree of discretion when it comes to sensitive and or confidential matters.
  • Planning & Executing Meetings: Arrange and participate in meetings including arranging logistics, setting agendas, taking minutes, owning actions, and ensuring completion of items.
  • Project Management: May be required to support a range of projects from start to finish, provide progress updates, and flag any issues that may impact agreed project timelines.
  • Event Planning: Work cross-functionally with internal and external vendors to organise events including scheduling agendas, briefing participants, and arranging venues, catering, and or logistics.
  • Travel & Expenses: Responsible for arranging frequent travel arrangements. Responsible for processing expense claims, compile reports, process invoices, and track payments in line with expense policies and submittal deadlines.

Key skills and experience required:
  • Experience working in a secretarial and or administrative capacity is advantageous.
  • Holds relevant professional qualification, accreditation and or certification.
  • High level of written and spoken English.
  • Fully conversant with Microsoft Office suite (Teams, Outlook, Excel, and Word).
  • Excellent project management, communication, and problem-solving skills.
  • Experience of diary management, inbox management and managing travel arrangements on behalf of someone.
  • Demonstrates previous experience and a keen interest in internal and external communications, partnership development, and event management.
  • Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts.
  • Experience of working within a globally diverse environment, showing an understanding of and keen interest in equality, diversity, and inclusion.
  • Excellent attention to detail, with the ability to maintain a high level of accuracy.
  • The ability to research, digest, analyse and present material clearly and concisely.
  • A flexible, pro-active approach to work including the ability to prioritise and reprioritise.
  • Demonstrates personal integrity, credibility, and flexibility within the scope of position responsibilities.
