We are seeking a detail-oriented, proactive, and highly organized HR Administrator to join our People & Culture team based in our London office. You will be responsible for providing comprehensive administrative support to the People & Culture Business Partner for UK & Germany, ensuring the smooth operation of HR processes and contributing to a positive employee experience. This role is ideal for someone who is passionate about HR, thrives in a fast-paced environment, and has excellent communication and organizational skills.

In our People and Culture Team, we are a group of 16 colleagues covering 8 countries working together to support the business stakeholders in embodying our purpose and vision of making a difference for cities and people. You will have extensive interaction with our People & Culture team members across the organization and exposure to a diverse range of expertise. Key Responsibilities:
  • Maintain accurate and up-to-date employee records on our HRIS Bob.
  • Manage all administrative aspects of the employee lifecycle for UK & Germany, including preparing employment contracts, conducting necessary pre-employment checks (references, right-to-work, etc.), as well as scheduling exit interviews and coordination of final payroll and documentation.
  • Assist with updating and maintaining UK/Germany relevant HR information internally.
  • Prepare HR reports, dashboards, and analytics as required.
  • Own the data input for UK payroll by ensuring accurate employee data transfer and maintenance.
  • Administer UK & German employee benefits, including pensions, private medical, dental insurance, and other relevant schemes.
  • Respond to queries regarding reference requests, employment confirmation, payslips, etc.
  • Support wider HR projects and initiatives as required by the Head of People & Culture.
  • Document HR processes and guidelines where required.
Skills & Qualifications:
  • Essential Skills: Proficiency in HR system Bob and Microsoft Office applications (Teams, Word, Excel, Outlook, etc.). Strong knowledge of UK employment law and HR best practices. Excellent administrative and organizational skills with attention to detail. Strong interpersonal and communication skills, with the ability to liaise at all levels of the organization. Confidential and ethical approach to handling sensitive information. Ability to prioritize tasks and meet deadlines in a busy environment.
  • Desirable Skills: Previous experience in a HR role or HR administrative capacity. CIPD Level 3 (or working toward it) or equivalent qualification in Human Resources. Experience with payroll and benefits administration. Experience in working with multiple legal jurisdictions within Europe.
