The Role
We are recruiting a full-time Property Administrator, to support the Kent Estate Manager. This is a fantastic opportunity if you are looking for a varied role, in a fast-paced environment, in a friendly team, and have previous property management administrative experience.
Duties include:
- Being the first point of contact for tenants, customers and contractors.
- Maintaining the Estate IT system for land and property holdings, including logging maintenance issues, dealing with diary actions and making any required amendments.
- Maintaining compliance database, and arranging necessary compliance works e.g. boiler servicing, electrical tests, etc.
- Preparation of correspondence to contractors including tender packs and contract compliance information.
- Instructing emergency and planned works.
- Assisting in the property lettings process, including conducting viewings, organising references, production of tenancy documentation, check ins/outs, inventories, deposit registration, EPCs, etc.
- Maintenance and updating of the letting profile and particulars on our website.
- Maintaining efficient order log for processing purchase orders; processing sales invoices and rent and service charge invoices; chasing outstanding invoices and rental debtors, and collection of rent.
- Maintaining logs of outstanding debtors, lease expiries and rent renewals.
- Managing petty cash, ordering stationery and other sundry items.
- Developing and maintaining an efficient filing system.
- Providing general administrative and PA support to the Kent Estate Manager.
About You:
- Good standard of education, to a minimum of GCSE Level 4 Maths and English (or equivalent).
- Property management administrative experience.
- Property Lettings and/or Estate Agency experience.
- Experience of working in a fast-paced environment.
- Excellent organisational and time management skills, the ability to prioritise, and a high degree of attention to detail.
- Excellent IT skills, including Excel, Word, Outlook, and database management.
- Excellent customer-service, communication and interpersonal skills, a professional attitude, and good levels of personal presentation.
- Flexible and positive attitude.
- Capable of working to the highest standards with integrity, discretion and good humour.
- Ability to work on own initiative and as part of a team.
- Full valid driving licence and own transport.
