Objective of Role

Provide professional archiving services related to records and images within Nucleus, ensuring compliance with public records requirements for all stakeholders. Support the achievement of objectives in Restore Digital Quality, Occupational Health & Safety, Information Security, and Environmental Management.

Key Role Responsibilities

  • Maintain high safety and security awareness at all times.
  • Ensure compliance with Information Security policies, including Nucleus and NDA guidelines.
  • Perform high-speed, large-format, microfilm, microfiche, film, and book scanning.
  • Handle information requests and retrievals, liaising with NDA, stakeholders, and the public via email, phone, or letter.
  • Manage document and file storage records, accession new collections, and oversee document destruction and shredding processes.
  • Input data into the Archive Management System and operate essential equipment responsibly.
  • Support ISO9001:2015 and Nucleus Quality Management System requirements, including understanding ISO 27001 and GDPR compliance.
  • Adhere to Health and Safety policies and legislation.

Additional Responsibilities

  • Oversee bulk scanning, image and film requests, and digitisation projects.
  • Archive photographs, negatives, and films; create media formats for social media or internet use.
  • Administer document reviews, legal compliance, and discovery processes per relevant legislation and guidelines.
  • Create and analyse spreadsheets, locate missing files, and compile team data and statistics.
  • Generate barcode labels, manage controlled documents, and uphold security and legal responsibilities as Atomic Liaison Officer.
