The Purpose

Old Trafford Tour & Museum are responsible for delivering world-class tours and experiences that immerse visitors in the rich history and heritage of Manchester United Football Club, creating unforgettable memories for fans from around the globe. We are seeking a highly organised and efficient Team Leader to join our dynamic team at Old Trafford Tour & Museum. This role is crucial in managing the smooth and efficient running of our daily operations. The successful candidate will be responsible for a variety of administrative tasks, including rota management, responding to customer enquiries, reporting, and data entry and will serve as the senior staff member for the wider museum team.

The Role

  • Strategic Rota Management: Take full ownership of developing, implementing, and distributing efficient staff rotas to ensure seamless daily operations and optimal staffing levels.
  • Efficiently manage bookings: Utilise the departmental booking system to process new sales, amendments, and existing reservations.
  • Accurate HR Administration: Oversee the precise recording of staff attendance, annual leave, and other critical personnel information, maintaining confidentiality and compliance.
  • Proactive Customer Engagement: Serve as a primary point of contact for customer enquiries, responding promptly and professionally across all channels (email, phone, in-person) to resolve issues and enhance satisfaction.
  • Comprehensive Information Provision: Be a reliable source of accurate and up-to-date information regarding all tour options, ticketing procedures, and available services, guiding visitors effectively.
  • Meticulous Record-Keeping: Establish and maintain robust systems for recording all administrative activities, ensuring data accuracy, retrievability, and adherence to internal procedures.
  • General Administrative Support: Contribute to the overall efficiency of the office by assisting with a variety of administrative tasks as needed, supporting the wider team.

The Person

  • Outstanding Communication & Interpersonal Skills: The ability to convey information clearly and professionally to both colleagues and visitors, in person, over the phone, and in writing.
  • Organisational & Time Management: A proven track record of effectively prioritising multiple tasks, managing competing demands, and maintaining an organised workflow to meet operational needs.
  • Advanced IT Proficiency: Demonstrated expertise in Microsoft Office Suite (Word, Excel, Outlook) for administrative tasks and reporting, coupled with experience in digital booking systems.
  • Demonstrated Customer Service Excellence: Significant experience providing high-quality customer support and resolving inquiries efficiently in a dynamic, high-volume setting.
  • Proven Rota Management Capability: Direct experience in the successful creation, optimisation, and distribution of staff rotas to ensure effective team coverage.
  • Ability to Thrive Under Pressure: Comfortable working in a busy environment, consistently delivering high-quality results and meeting deadlines.
  • Meticulous Attention to Detail: A strong commitment to accuracy and precision in all administrative tasks and record-keeping.
