We are looking for a dynamic Executive Assistant (EA), with demonstrable experience supporting at a senior level in a large organisation (150+), to join a highly successful organisation near the Docklands. The EA will act as the key support to the C-suite, ensuring individuals are able to undertake the highest priority work to the highest level of quality. Therefore, we are looking for someone who is extremely well organised, who can work independently and exercise sound judgement. You will be a confident and personable EA with the ability to build relationships at all levels and you will be business savvy with the capabilities to support strategic leadership meetings. Traditional PA duties will also be involved so we’re looking for someone with experience of board packs, travel, meetings, events and stakeholder liaison.
What’s on offer? This is a great EA role supporting a dynamic team of Directors. Our client is offering a competitive salary up to £60k plus generous bonus scheme and benefits package. Hybrid working is available with 4 days in the office required, 1 day at home.
Key responsibilities as the EA will include:
- Extensive support to both the C-suite
- Establishing and developing key stakeholder relationships (internally and externally)
- Liaising with the Management Board and relevant HODs and leadership team members
- Attending key meetings, supporting preparation of agendas, taking minutes and tracking action points
- Managing C-suite calendars, coordinating their meetings, arranging travel and accommodation and processing expenses
- Managing email inboxes and responding as required
- Supporting with preparation and content of Board papers and presentations
- Supporting internal strategic leadership meetings
- Meeting and greeting guests for the C-suite
- Acting as a gatekeeper as needed
- Undertaking ad hoc projects for the senior team
- Company event coordination and Director’s events
What we’re looking for:
- Previous experience in senior EA / PA roles supporting Directors / C-suite
- Recent EA experience in large organisations (>150)
- Highly organised nature with ability to prioritise busy workloads
- Excellent communication skills and the ability to build successful business relationships
- Experience coordinating board packs, attending board meetings and taking minutes etc.
- Impeccable attention to detail and accuracy
- IT literate including excellent MS Office365 (Word, Excel, Outlook and Powerpoint needed)
- Dynamic approach with the ability to work under pressure
- Available imminently with a maximum of 1 month’s notice.
