Working Days and Hours: Monday to Friday, 8.30-17.00 – some days may require additional support into the evening.
Job Summary: To provide an efficient, high quality appointment reception and booking service across all the sections of the department. The job would be to ensure the smooth running of the reception and utilise appointing knowledge to maximise utilisation of all available appointments.
Duties:
- Work closely with the Administration Team Leader, clinical and non-clinical staff to contribute positively to the effectiveness and efficiency of the team.
- Ability to deal with all queries effectively in a sensitive manner from both Trust staff and general public, some of which may be complex. Communication may be via email or telephone involving staff, patients or relatives, GPs and other healthcare professionals.
- Communicate with patients in a sensitive, confidential and tactful manner; some of the issues can be of a complex and contentious nature.
- Attend regular team briefs and huddles and ensure any duties are carried out as requested.
- Cancel and rebook lists at short notice due to mechanical breakdown or unexpected last minute unavailability of staff.
- Make appropriate judgements on where to rebook the patients taking into account the urgency and availability.
- Interpret referrals ensuring that the patient is appropriately prepped and booked onto the correct list.
- Analyse and judge the urgency of referrals and bring them to the attention of the various Superintendents/Consultants within the department and expedite accordingly.
- To accurately use department computer systems, inputting data and retrieving information as necessary.
- To participate in the transfer and communication of Patient images via electronic processes.
- To contribute to and assist in Service improvement, developing and enhancing the overall imaging service to meet the continuing needs of the department and its users.
Essential Experience:
- Completion of GCSE’s or equivalent
- Competent using all Microsoft Packages
- Experience working in a reception or administration post, preferably in healthcare
- Comfortable and professional working with patients both over the phone and face to face

- NHS experience
