This is more than just a Document Controller role; it’s a chance to build something from the ground up. A newly formed surfacing contractor led by ex-Tarmac and Breedon board-level directors is rapidly growing and on track to double (if not triple) their £5M turnover. They’re now looking for a proactive Project Document Controller to join their close-knit team in Glasgow, covering works across the central belt before further expansion.

What you’ll be doing:

  • This is a rare opportunity to take ownership of the entire document control function, designing the system, building the processes, and shaping how documentation flows between site and office.
  • Implementing and managing the full document control system from scratch.
  • Handling project documents including H&S files, RAMS, ISO compliance, service records, drawings, variations, site briefings, and equipment logs.
  • Managing standard responsibilities, tracking documentation, ensuring version control, and maintaining accurate records.
  • Working alongside directors to roll out Reflow, the company’s field management system - helping set up digital workflows for:
  • Job quotes & live jobs
  • Material usage tracking
  • Variations and achievements
  • Double sign-ons, holiday & PPE requests
  • Defect sheets, service logs
  • Bespoke form builder for site briefings and bill input
  • Linked to Xero for seamless billing & accounting
  • Supporting ongoing ISO system maintenance, audits, and accreditation.
  • Ensuring smooth collaboration between field and office staff.
  • What they’re looking for:

    • Previous Document Control experience (ideally in construction, surfacing, or civils).
    • Confidence in setting up and running control systems.
    • Strong understanding of document processes, compliance, and project workflows.
    • Familiarity with EDMS tools (e.g., SharePoint) and ideally some exposure to Reflow or similar systems.
    • Someone eager to grow with the company and help shape its internal processes as it scales.

    Why this role is different:

    • You’ll have full autonomy to set up the systems your way, with full backing from the directors.
    • You’ll be working directly with the owners, influencing business-critical processes.
    • The company is investing heavily in tech, people, and infrastructure (including a brand-new 4-acre yard with offices).
    • You’ll play a key role in future expansion as turnover and team size grow.
    • Real input, real progression, and no corporate red tape.
