Langford Vets is delighted to offer an exciting opportunity within our Client Services team for an experienced, professional, and dynamic individual with a strong customer focus, keen to thrive in a busy and fast-paced Small Animal Veterinary Referral Hospital. The Hospital is based at Langford and operates 24/7, providing support to first opinion vet practices through specialist clinics including Neurology, Soft Tissue Surgery, Medicine, and Emergency Care. The role involves supporting these activities by delivering first-rate customer and administrative service to clients and clinicians. You will be part of a large, interactive team.
Responsibilities include:
- Appointment bookings
- Telephony services
- Administrative tasks

- Ensuring clients and their pets are well supported
The ideal candidate will have a flexible approach, clear communication skills, a professional, friendly, and caring demeanor, along with a positive "can do" attitude. They will be highly organized, a team player, and able to multitask in a busy environment. Experience in a veterinary environment is an asset but not essential. Full training and support will be provided.

Job Purpose: Provide first-class customer service and administrative support to Langford Vets staff and clinicians within the Small Animal Referral Hospital. Ensure smooth administration of the hospital reception area, fostering effective communication between referring vets, clients, pet owners, and staff, while maintaining a professional and welcoming persona.
Principal Responsibilities:
Ensure a friendly, welcoming environment and smooth service delivery, including:
- Front of House Reception: Meet and greet clients, visitors, students, and delivery drivers. Maintain the reception and waiting area in a clean, tidy state, with current magazines, a functioning video monitor, and stocked coffee machine. Book appointments, including revisits. Handle payments and assist with insurance forms. Coordinate with clinicians regarding client visits. Verify client information accuracy. Resolve visitor issues at reception. Manage daily cash reconciliation and secure monies.
- Telephone Handling: Answer calls courteously, redirect or take messages as needed. Process appointment requests and inform clients and referring vets. Manage referrals, including X-ray services and report dispatch within 24 hours. Scan documents, maintain equipment, and manage email correspondence. Support clinician and service planning. Order stationery and update website information. Assist with client communications regarding pet ashes. Identify opportunities for service improvements and communicate issues for continuous enhancement.
All staff may be assigned additional tasks as needed.
