De Pinna Notaries is a leading specialist Notarial practice with a history spanning over 250 years. Located in the West End and the City of London, De Pinna has an enviable client portfolio comprising around a third of the FTSE 100, some of the largest multinational companies, and high net worth individuals.

We are recruiting a Legal Secretary to join the firm and provide high level secretarial and administrative support to a Partner within the Italian department on a 15 month fixed term contract. Based in our West End office, you will be working in a very busy legal (notarial) environment which will involve the production of legal documentation and direct client liaison.

You will need to be a multi-tasker who is resilient, organised and methodical, able to cope with high volumes of work, have a keen eye for detail and who can keep calm under pressure and is used to responsibility.

Working Hours: Monday - Friday 9.30am - 5.30pm (with flexibility around these times to meet deadlines and requirements of the role)

Main Responsibilities:

  • Providing high level secretarial and administrative support to the Fee Earner with their daily workload (diary management, booking appointments, client liaison, responding to emails, post)
  • Amending Notarial certificates in English and relevant foreign languages
  • Deputising for Fee Earners in their absence passing urgent enquiries to senior colleagues for guidance
  • Managing own work allocation, productivity and quality of work with minimum supervision whilst also working as part of a team
  • Managing the maintenance and tracking of all files, ensuring client records are continually kept up to date with correspondence and documents
  • Ensuring priorities and deadlines are met
  • Checking all information is accurate and complete at all times
  • Dealing with routine client and third party enquiries and communications wherever possible
  • Dealing with translation service providers and other third-party support as may be necessary
  • Assisting in general office administration when necessary, including reception duties

Experience Required:

Essential:

  • At least one year secretarial experience
  • Proficient in English
  • Fluent (native/near native level) in Italian
  • Practical experience of handling client enquiries both by email, telephone and face to face
  • Fully computer literate with good keyboard skills and a working knowledge of various software packages e.g. MS Office - MS Word etc
  • The right to work in the UK

Desirable:

  • Practical experience of working in a legal or notarial office environment
  • Knowledge of Microsoft Dynamics 365
