We are currently recruiting an Administrator to join our Associate Management team, here at C&G. Currently we offer this position as a fixed term 12-month contract. We offer hybrid working arrangements. The role is full time; Monday to Friday and we would like a successful candidate to work in our London office EC1A 9DE 2/3 times per week.

Full-time Role: 35 hours per week

If successful, you would join a diverse and busy team, where your key focus would be to support the diverse range of tasks within the Associate Management Team. The team look after different associate groups who support City & Guilds with delivering our products/services. This is a great role and there are lots of opportunities to grow and develop. This role is ideal for both an experienced administrator or an applicant with some transferable skills and desire to grow into the role.

About the role:

  • Administer products, projects and systems: Process Associate claims for reimbursement of expenses and fees for work completed and keep all records up to date
  • Support team meetings by minute taking as required
  • Monitor the team’s shared inboxes; and respond to general and specific enquiries from different stakeholders (internal/external)
  • Support with reports, summaries, communications, and analysis to support the recruitment, selection and training of associates contracted with City & Guilds.
  • Complete scheduled and adhoc admin tasks to support team wide colleagues and tasks
  • Provide administrative support for associate training, briefing and standardisation events
  • Liaise with the team to plan and organise events, including securing venues and requirements and preparing materials
  • Send invites, monitor participation, and maintain attendance records
  • Support with chasers and comms to ensure high level attendance to events
  • Communicate with applicants following training to support contracting next steps
  • Maintain systems and procedures
  • Support the maintenance of SAP and other Associate systems used by the team and the business
  • Support the Associate resignation process to ensure Associate vendors are closed down on SAP and relevant platforms
  • Maintain ICAM to support regulatory audits
  • Provide other support if and when needed.

About You: What are we looking for:

  • Experience in an administrative role OR transferable skills and a desire to work in an administrative position
  • Able to prioritise own workload and to meet set deadlines
  • Positive and flexible attitude
  • Able to demonstrate ability use initiative and own judgment without the need for regular guidance
  • Strong written, verbal, communication and numerical skills
  • Basic understanding of using key Microsoft Office programmes – Word, Outlook, Excel

Ideally we would love you to have:

  • Experience of managing your own workload and to meeting set deadlines
  • The ability to use initiative and judgment to work independently on an allocated task
  • Experience of undertaking administrative tasks
