A new opportunity has become available for a Treatment Coordinator / Assistant Manager to join an established practice located in North London (N16). Start date – as soon as possible. This is a progressive role and will lead to a practice management position within 6 months. The position is 4 days per week, Monday – Thursday, from 9am to 6pm. Suitable candidates must have previous experience as a Treatment Coordinator. Salary: £35k.

Main purposes of the job:

  • Create a positive patient experience.
  • Manage public relations and patient relationships.
  • Handle marketing, advertising, and patient recall.
  • Assist the practice manager and monitor staff performance.

Key responsibilities of TCO:

  • Meet new patients, discuss treatment options before seeing a dentist, and build rapport.
  • Follow up after dental appointments, schedule future visits, process payments, and discuss consent.
  • Maintain accurate records of patient interactions.
  • Be available to discuss treatments with patients.
  • Arrange finance options and calculate payments in the best interest of the clinic and patients.
  • Manage a conversion table to track patient consultations and conversions.
  • Handle calls, discuss options, and book appointments via the computer system.
  • Contribute to marketing and advertising efforts, including social media and adverts.
  • Host open evenings and discuss treatments with clients.
  • Monitor and carry out patient recalls at appropriate intervals.
  • Take before-and-after photos of patients.
  • Record patient interviews and request testimonials.
  • Oversee the appointment book for optimal use of time.
  • Ensure receipts are issued and financial records are accurate.
  • Complete patient administration correctly.
  • Assist in reception duties when needed.
  • Monitor local marketing initiatives and patient feedback.
  • Handle patient complaints from initial report to resolution.
  • Maintain current and accurate patient records.
  • Ensure patients failing to recall are identified and addressed.
  • Ensure patient accounts are settled promptly.
  • Liaise with the Practice Manager and perform assigned tasks.
  • Manage staff schedules, holidays, sickness, and employment matters.
  • Coordinate with the Marketing Manager regarding the website and social media platforms.
  • Supervise dental nurses and receptionists, ensuring task completion and compliance.
  • Conduct stock takes and manage ordering.
  • Handle patient complaints and liaise with relevant team members.
  • Organize monthly practice meetings and weekly manager meetings.
  • Ensure staff CPD and training are up to date.
