The Opportunity

Key responsibilities:

  • The Practice Operations Executive coordinates the billing process within Practice Groups. This involves liaising between lawyers and support teams for invoice preparation and final issuance, working with the Revenue team as needed.
  • Key tasks include chasing timesheets, narrative time entry remediation, editing bills, coordinating write-offs and discounts, collating bills and narratives according to firm policy, managing alternative pricing arrangements, and cross-border invoicing.
  • The role collaborates closely with PEs and PTAs for billing administration support.
  • Responsibilities include creating pre-bills, producing final invoices and cover letters, and working with the Revenue and Matter Management teams on matter setup and invoice posting.
  • The duties include but are not limited to:
  • Supporting a streamlined process from time capture to invoice production.
  • Using software like Timesheet Writer for narrative remediation.
  • Drafting and producing invoices with full support.
  • Handling queries regarding invoices and working capital, liaising with lawyers and the Revenue team.
  • Understanding client billing and collection processes to facilitate timely payments.
  • Utilizing ServiceNow for task entry and tracking, including overseas tasks.
  • Supporting the Revenue Helpdesk and providing assistance as needed.
  • Liaising with partners and associates on debts and unpaid invoices, escalating as necessary.
  • Running revenue reports for stakeholders.
  • Performing ad hoc revenue tasks as required.

Qualifications, skills, and experience:

  • 1-2 years' experience in a professional services environment, in a PA or paralegal role.
  • Excellent customer service skills.
  • Proficient IT skills, with good knowledge of Word, Excel, and Outlook.
  • Confident in suggesting new ideas and improvements.
  • A team player adaptable to a changing environment.
  • Detail-oriented with high accuracy.
  • Deadline-driven with the ability to meet tight deadlines.
  • Strong communication and problem-solving skills.
