Location: London and Southeast

Contract type: Permanent

Hours of work: 40 hours p/w (Mon - Friday, 8:30am - 5pm)

Salary: £26,215 - £40,660 per annum

The Inspection Officer manages all aspects of accommodations, service delivery and personnel standards to ensure compliance with contractual obligations and statutory regulations that relate to initial accommodations and large sites accommodations. The postholder must hold a full UK Driving License and access to their own vehicle as extensive daily travel is required.

  • Assure the standards of services provided to asylum seekers in Initial and large site accommodations at least once a month and report non-conformances in line with internal policies and procedures.
  • Work closely with onsite accommodation staff to ensure they are clear on the requirements and standards for services to be provided to service users.
  • Meet with designated officer, either accommodation staff or subcontractor, at the relevant accommodation at the beginning of the day to discuss the day’s Inspection plan.
  • Conduct a close out meeting at the end of the day to discuss findings and recommendations.
  • Review all services being provided across diverse risk domains including a review of subcontractor’s documentation, risks registers and directions to their staff detailing how services are to be provided.
  • Review compliance documents and any actions to meet recommendations detailed in such documents on a regular basis and present findings to relevant stakeholders.
  • Inspect all services and service areas including inspecting a minimum of 5% of rooms within an accommodation to inform possible areas of non-conformance.
  • Ensure all defects and non-conformances are raised on the system in line with internal processes and guidelines.
  • Ensure all defects and non-conformances are rectified within contractual guidelines by reviewing and recording any evidence of resolutions.
  • Collaborate with the business to track and resolve non-conformances, ensuring timely remediation in line with contractual standards.
  • Provide periodic report on inspections activities identifying risks and recommendations for improvements and sharing areas of good practice to improve team and organisational performance.
  • Facilitate and attend inspections or audits of accommodations in the portfolio by UKVI and other statutory bodies as directed by line manager or senior management team.
  • Liaise closely with accommodation staff to ensure compliance with the level of service required under the AASC contract guidelines.
  • Provide detailed response to queries from UKVI or other stakeholders as directed by line manager.

Pre-Audits of accommodation ahead of Go live:

  • Conduct pre inspection and audit of proposed accommodations for suitability and compliance with required standards prior to go live.
  • Review all building compliance documentation i.e., Standard Operating Procedures, Fire Risk Assessments, Gas, Electric, Legionella certificate etc.
  • Review occupancy in each accommodation to ensure that all rooms are fully utilised in compliance with the contract and any guidelines from the customer.
  • Confirm in line with company guidelines and processes that a proposed accommodation is compliant and meets all contractual and statutory requirements for occupation.

Support for Service Users:

  • Ensure stocks of documentation/booklet material for supporting service users are maintained and kept up to date and in line with the contract requirements.
  • Review onsite staff processes and actions to ensure service users are supported to register with doctors and schools for children of statutory school age.
  • Ensure onsite staff are aware of actions to take to support service users to access support and implement processes for signposting service users to local shops, support agencies, etc.
  • Conduct monthly visits and ensure outstanding incidents reports are raised.
  • Ensure onsite staff are acting in accordance with the contract to move service users out of the accommodation (Move – on process) no later than the last day as detailed within UKVI letter.
  • Ensure staff are aware and implement the necessary process to maintain service users’ health and safety at all times including conducting regular welfare checks of service users’ wellbeing as required under the contract.
  • Complete a specific number of welfare checks per month as directed by the line manager prioritising the most vulnerable.
  • Work in partnership with the Safeguarding Team and take action to resolve or signpost any Safeguarding issues/concerns raised during the inspection.
  • Work in partnership with accommodation staff to ensure recommendations from UKVI Inspections and FRA recommendations are followed up through to completion.

  • Supporting team members and provide on-the-job training.
  • Provide cover for other staff as agreed by line manager.
