Our well-established client is seeking a Facilities Officer to support operations by maximizing personal productivity and managing Facilities Management duties to achieve objectives and contribute to team, functional, group, and scheme goals.
Responsibilities - What I will deliver:
- Provide professional Reception cover: meeting and greeting visitors, contacting hosts, and handling hospitality requests.
- Manage post room activities within specified service level agreements.
- Order and replenish stationery supplies.
- Liaise with suppliers and contractors to ensure service levels are met.
- Schedule and supervise preventative maintenance and contractors on site.
- Handle meeting room administration requirements.
- Manage Facilities service desk tasks efficiently.
- Facilitate meetings with stakeholders.
- Coordinate Planned Preventative Maintenance activities, reporting to the Facilities Specialist & Facilities Manager.
- Draft and distribute Facilities Management meeting minutes.
- Familiarize with IPOS Procure to Pay processes.
- Manage claim files via Iron Mountain portal, coordinate scanning with Xerox, and oversee the destruction of paper files.
Health and Safety:
- Arrange and deliver Health and Safety onboarding sessions.
- Conduct DSE assessments and report concerns.
- Organize Health and Safety training sessions.
- Perform monthly risk assessments of Health and Safety measures.
Knowledge - What I need to know:
- Understanding of Facilities Management practices.
