What you’ll do
You’ll love what you do and take pride in supporting the Commercial division at Dorchester Collection.
You will be responsible for providing efficient and effective administrative support to the Vice President, Commercial, working in a fast-paced environment. In the role, you will:
- Provide proactive diary management for the VP, Commercial’s daily schedule including internal and external appointments both in person and virtually, as well as manage database of contacts for VP, Commercial
- Liaise with external guests/clients/suppliers and with internal departments on all levels on behalf of the VP, Commercial
- Responsible for all correspondence and all phone calls on behalf of VP of Commercial
- Liaise with the Executive assistant to Company President regarding business travel plans for VP, Commercial
- Manage finances for the VP, Commercial including expense claims, raising purchase orders and reviewing all invoices
- Prepare for and attend key meetings and action points with and on behalf of VP, Commercial
- Handle room and restaurant reservations and special rate requests and charity vouchers on behalf of the VP, Commercial.
- Coordinate and submit holiday requests and approvals for relevant team members
In your role, you will also support the wider Commercial Team by:
- Managing the Commercial S&M budget and liaise with finance on a monthly basis, while also overseeing annual budget process with department heads.
- Helping prepare and co-ordinate presentations and content for various events such as annual commercial forum, annual board presentation, and executive forum and strategic update meetings
- Coordinate, pull and analyse reports including from Big data and Nexus as required
- Compile and distribute the monthly commercial update to the hotels
- Liaise closely with the Executive assistant to the CEOs, providing cover in their absence
- Registering visitors and dispatching of items via couriers.

What you’ll bring
You’ll bring your unique personality and passion to the role and the team.
You have previous experience as a PA or EA, and experience in a luxury hotel environment is preferred.
Communication is what keeps our departments running perfectly. You have great verbal and written communication skills.
English is the primary language used in our hotel. You can comfortably communicate in this language.
Good understanding of basic financial accounting principles to be able to own the budget process.
High level of computer literacy and understanding of Excel and PowerPoint.
Previous experience using CRM systems and Opera.
